Full Job Description

Office Manager – Rio Concho Terrace (Full-Time)

Location: San Angelo, TX Schedule: Monday–Friday, 8:00 a.m.–5:00 p.m. (Occasional evenings/weekends as needed)

Rio Concho Terrace is a nonprofit senior living community committed to providing compassionate service, a welcoming environment, and exceptional support to our residents. We are seeking a highly organized, service-oriented Office Manager to oversee daily administrative operations and support the Terrace Community Manager in ensuring smooth, efficient functioning of the community.

About the Role

The Office Manager is a key member of our leadership team, responsible for coordinating office operations, resident services, accounts receivable, leasing support, store management, and staff scheduling. This role requires professionalism, empathy, and the ability to thrive in a fast-paced environment with frequent interruptions.

Key Responsibilities

Resident & Visitor Services

Greet visitors, answer phones, and manage messages with professional etiquette.
Assist residents, families, and visitors; refer complex matters to the manager.
Monitor resident well‑being and report concerns.
Respond to emergency calls following established procedures.
Support activity programs and encourage resident participation.
Assist in the dining room, maintain meal counts, and coordinate meal trays.
Drive residents to appointments when necessary.

Administrative & Office Operations

Monitor pendant alert system (desktop & tablet).
Review shift logs, announcements, and daily schedules.
Walk lobby/patio areas; check rooms for showings or move‑ins.
Maintain organized resident and administrative files.
Prepare monthly employee schedules and secure substitutes.
Assist with recruiting, hiring, training, and supervising staff.
Order employee uniforms and assist with special projects.

Accounting & Financial Duties

Prepare rent sheets and QuickBooks entries.
Receipt payments for rent, meals, store sales, and miscellaneous charges.
Document payments in QuickBooks and Excel.
Oversee accounts receivable and collections.
Reconcile store sales and prepare bank deposits.
Maintain petty cash and laundry vending income.

Property & Leasing Support

Enter and track work orders, leases, and accounts receivable.
Assist with tours, inquiries, brochures, and prospective resident engagement.
Coordinate apartment make‑ready/turnover with staff and vendors.
Communicate apartment availability and assist with leasing paperwork.

Store Operations

Process store sales, maintain cash drawer, and enter receipts in QuickBooks.
Stock merchandise and maintain accurate inventory.

Safety & Emergency Preparedness

Understand fire evacuation procedures, emergency alert systems, and medical response protocols.
Follow all established procedure guides.

Qualifications

High school diploma or GED required.
Minimum 2 years administrative or office management experience.
Proficiency in Microsoft Word and Excel.
Experience with QuickBooks and Propertyware preferred (training available).
Strong communication skills and ability to work with elderly or disabled individuals.
Ability to multitask and remain calm under pressure.
Ability to lift 20–30 lbs. and perform occasional bending, standing, and walking.
Must have valid driver’s license and be insurable under company vehicle insurance policy.
