Job Summary

We are a well-established, family-owned construction and restoration company. We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This role is vital in ensuring smooth administrative workflows, excellent customer service, and efficient office management. The ideal candidate will demonstrate exceptional organizational skills, technical proficiency, and a proactive attitude to support our team and clients effectively. As an Office Manager, you will be the backbone of our office operations, fostering a welcoming atmosphere while maintaining high standards of professionalism and productivity.

Duties

Oversee all administrative functions, including data entry, filing, and document management using office productivity software such as Microsoft Office, Google Workspace, and spreadsheets.
Manage front desk operations by greeting visitors, answering multi-line phone systems with professionalism, and providing outstanding customer support.
Handle bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial records.
Maintain office supplies inventory, order necessary materials, and ensure the office environment is organized and welcoming.
Support client communication efforts through phone etiquette and email correspondence.

Requirements

Proven experience in office management or administrative roles with strong clerical skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and familiarity with productivity software.
Excellent computer literacy with the ability to perform data entry accurately and efficiently.
Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Exceptional communication skills both via phone and in person.
Experience handling multi-line phone systems and front desk responsibilities with professionalism.
Knowledge of bookkeeping procedures using QuickBooks.
Previous experience in customer service/receptionist roles is advantageous.
Ability to manage calendars efficiently and prioritize tasks to meet deadlines.
Technical proficiency in office equipment such as printers, scanners, and phone systems.
