Full Job Description

Job Overview

The individual in this role will be responsible for designing, delivering, and maintaining comprehensive training programs for new and current employees across various systems and processes, including EMR, Surgimate (surgery scheduling), OnePoint (HRIS), GoTo (phone system), RedSpot (referral tracking), customer service, and sales. Additionally, the specialist will oversee analytics, training effectiveness, and will assist in managing IT workstations and equipment.

Key Responsibilities:

Training Delivery and Onboarding: Develop and deliver onboarding, refresher, and continued education training programs for new and current employees on all relevant systems, workflows, customer service standards, and sales processes.

·Training Development and Learning Resources: Assess training needs and create customized training materials, job aids, courses, advanced learning modules, competency tools, and certification-style resources to support employee performance and system knowledge.

Training Follow-Up and Retraining: Conduct scheduled follow-up check-ins, including 30-, 60-, and 90-day touchpoints, and implement targeted retraining plans to reinforce learning, address knowledge gaps, and improve workflow compliance.

Tracking, Analytics, and Continuous Improvement: Monitor training effectiveness, track employee progress, evaluate learning outcomes, prepare reports, and update training materials to reflect system changes, workflow updates, industry trends, and organizational needs.

Systems, Equipment, and Helpdesk Support: Coordinate workstation setup, assist with equipment installation, maintain IT inventory, troubleshoot basic equipment and system issues, respond to helpdesk tickets, and support staff with system access or training-related technology needs.

System Updates, IT Projects, and Technology Integration: Communicate system updates to staff, assist with IT project coordination and implementation efforts, stay current with training tools and software solutions, and recommend technology improvements that may enhance training efficiency.

Cross-Department Collaboration: Partner with HR, IT, Medical, Administrative, and other teams to identify training needs, support cross-functional learning, improve workflow consistency, and ensure employees are informed and prepared for operational changes.

Employee Engagement and Retention: Promote a positive, supportive learning environment that improves employee confidence, engagement, satisfaction, and retention.

Adaptability and Operational Support: Assist with special projects, workflow support, system troubleshooting, and additional responsibilities as needed to support seamless operations and continuous improvement.

Qualifications & Skills

Required: Bachelor's degree in education, IT, business, or a related field preferred.
Required: 2+ years of experience in employee training, instructional design, or IT-related training, preferably in a healthcare or medical office environment.
Preferred: Familiarity with healthcare systems like EMR, HRIS, and referral tracking systems is a plus.
Required: Strong communication and presentation skills.
Required: Ability to create engaging and effective training materials.
Required: Proficiency in technology, particularly EMR systems, HRIS, phone systems, and scheduling software.
Required: Analytical mindset for tracking training outcomes and making data-driven decisions.
Required: Excellent organizational skills and attention to detail.

Technical Requirements:

Preferred: Experience with EMR, Surgimate, GoTo, ModMed, or similar systems preferred.
Required: Basic knowledge of IT equipment setup and troubleshooting.
