Full Job Description

Company Overview:

Susan Shaw is a locally owned and operated business specializing in wholesale and retail jewelry. We pride ourselves on offering high-quality, stylish, and affordable jewelry to a diverse customer base. As a growing business, we are looking for a detail-oriented and organized Inventory and Fulfillment Manager to support our operations, ensure smooth office and inventory management, and contribute to the overall success of the business.

Position Overview:

The Inventory and Fulfillment Manager will play a key role in maintaining the efficiency of the production office, managing inventory levels, ensuring timely order fulfillment, and supporting day-to-day operations. This role requires someone who is proactive, highly organized, and enjoys working in a fast-paced environment.

Key Responsibilities:

Inventory Management:

Inventory Control: Oversee the inventory of jewelry, ensuring that all products are accurately logged, tracked, and updated in the system.
Stock Replenishment: Monitor inventory levels and work with suppliers to reorder products as needed, ensuring minimal stock-outs or overstocking.
Receiving and Inspecting Shipments: Receive and inspect incoming inventory, verify accuracy, and report any discrepancies to suppliers.
Stock Organization: Organize the storage of products to ensure easy accessibility, minimize damage, and maintain a clean and efficient inventory space.
Inventory Audits: Conduct regular physical counts and inventory audits to ensure accuracy, identify discrepancies, and reconcile differences.
Data Entry & Reporting: Update inventory records in the system and generate reports on stock levels, order status, and sales trends. Assist in analyzing inventory turnover rates and sales data.
Product Pricing and Labeling: Ensure products are accurately priced and appropriately labeled for retail and wholesale distribution.
Shipping & Fulfillment Support: Work closely with the fulfillment team to ensure timely packing and shipment of orders, both for retail customers and wholesale accounts.

Office Management:

Office Administration: Manage daily office operations, including answering phone calls, responding to emails, and assisting customers with inquiries.
Customer Service: Coordinate with Customer Service representatives to assist in addressing inquiries, processing orders, and resolving any issues with wholesale and retail customers.
Documentation & Filing: Maintain organized filing systems for invoices, receipts, customer information, purchase orders, and shipping documentation.
Order Processing: Process incoming orders (both wholesale and retail) using company systems, ensuring accuracy and timely delivery.
Scheduling & Coordination: Coordinate meetings, appointments, and manage calendars for the business owner and staff as needed.
Basic Accounting: Assist with invoicing, accounts payable/receivable, and tracking payments for customer orders. Work with the accountant/bookkeeper for monthly reconciliations.

Additional Responsibilities:

Vendor Relations: Maintain relationships with suppliers and manufacturers to ensure timely deliveries, competitive pricing, and high-quality products.
Team Collaboration: Work closely with the sales, marketing, and fulfillment teams to ensure a smooth workflow and high customer satisfaction.
Event Coordination: Assist with coordinating company events, such as sales promotions, trade shows, or inventory sales.
Compliance & Safety: Ensure the office and inventory space comply with health and safety regulations.

Skills and Qualifications:

Experience: Minimum of 2-3 years in office management, inventory management, or a similar administrative role. Experience in the jewelry or retail industry is a plus.
Organizational Skills: Excellent organizational abilities with a keen eye for detail and accuracy.
Leadership: Ability to make decisions and set policies to ensure efficiency in fulfilling orders and maintaining inventory.
Communication: Strong verbal and written communication skills; able to communicate professionally with customers, suppliers, and team members.
Technical Skills: Proficient in Microsoft Office Suite (Excel, Word, Outlook), and experience with inventory management software or POS systems (e.g., QuickBooks, Lightspeed, Shopify).
Problem-Solving: Ability to resolve issues quickly and effectively, particularly in high-pressure situations.
Time Management: Ability to manage multiple tasks and priorities effectively.
Customer Service: A friendly, professional demeanor with a focus on customer satisfaction.
Physical Requirements: Ability to lift up to 40 lbs and stand for long periods when performing inventory checks or assisting with product handling.

Work Environment:

This position requires working in a fast-paced office and warehouse environment. The role may involve occasional lifting, organizing, and moving of inventory, as well as prolonged periods of sitting or standing at a desk or workstation.
