Full Job Description

Job Overview

We are seeking a highly professional, empathetic, and exceptionally organized individual to fill a unique hybrid role. This position splits responsibilities between traditional front-office administration and dedicated executive/care assistance for a senior executive facing mild cognitive decline and mobility constraints.

The ideal candidate will seamlessly shift between general office operations, providing top-tier customer service to tenants/vendors, and offering patient, proactive, and highly organized personal caretaking and administrative support to our founding executive.

Responsibilities

1. General Office Administration & Customer Service

Reception & Phones: Serve as the primary point of contact for the main office; greet incoming clients, answer multi-line phone systems, and route calls appropriately.
Customer & Vendor Relations: Act as a helpful liaison for customers, incoming vendors, and building repair professionals; schedule maintenance visits and log service requests.
Office Manager Collaboration: Assist the Office Manager with daily operational tasks, accounts payable, account receivable, file organization, mail sorting, scanning documents, and tracking basic office supply inventories.

2. Senior Executive Assistance & Technical Support

Digital Assistance: Patiently assist the senior executive with basic technology needs, including computer navigation, managing emails, handling software updates, and troubleshooting phone applications, writing letters, and emails.
Calendar & Schedule Management: Coordinate, track, and double-check all professional and personal appointments, meeting dates, and timelines.
Proactive Record-Keeping: Maintain an accurate, private daily log or summary of completed workflows, calls, and decisions. This ensures clear institutional memory and documentation when the executive experiences memory lapses.

3. Dedicated Caregiving & Cognitive Support

Patient Redirection: Provide gentle, dignified, and professional cognitive assistance, including behavioral redirection, memory prompts, and re-contextualizing tasks when the executive forgets recent discussions or schedules.
Mobility Assistance: Offer proactive, watchful physical support and environmental awareness as the executive maneuvers the workplace layout using a cane. Ensure paths are clear of obstacles.
Health & Routine Tracking: Monitor and prompt daily wellness habits, hydration, and medical appointment arrivals throughout the standard business day.

Qualifications and Requirements

Experience: Minimum 2–3 years of professional administrative or executive assistant experience PLUS a proven background in professional caregiving or senior care.
Specialized Knowledge: Direct, verifiable experience working with individuals diagnosed with dementia or Alzheimer’s disease.
Technical Proficiency: Strong familiarity with PC’s, smartphones (iOS) shared Google workspace/Outlook calendars, and common office apps.
Interpersonal Attributes: High emotional intelligence, exceptional patience, discretion, and the ability to maintain absolute confidentiality regarding executive medical and business information.
Physical Requirements (FEHA/ADA Compliant): Ability to safely stand, walk, and offer physical balance support to an adult using a cane; ability to move around office environment regularly.
Lifting Capacity: Ability to occasionally lift, carry, push, or pull up to 50 pounds independently (e.g., handling office files, moving desktop equipment, assisting with standard luggage or walker/mobility devices).
Physical Assistance & Transfer Support: Ability to provide steadying, balance support, and weight-bearing transfer assistance for an adult weighing approximately 155 pounds who utilizes a cane.
Mobility & Safe Transfer Response: Ability to bend, kneel, and safely assist an adult who uses a cane.

Preferred Qualifications

Prior experience navigating tenant-landlord or property management office workflows.
Certified Nursing Assistant (CNA) or Certified Home Health Aide (HHA) designation is highly favorable but not required.
Proficient using Safe Patient Handling (SPH) protocols and ergonomic fall-response best practices (e.g., assessing for injury before movement, guiding a fallen individual using sturdy assistive furniture, and avoiding manual vertical lifting that risks injury to both the employee and executive).
