Full Job Description

Position Overview

PAE Mission Systems is seeking a highly organized, proactive, and detail-oriented Data Calls Administrator to join our team in San Diego, CA working with ETMS2 Data Calls. This critical role provides direct program support to the PAE Mission Systems.

In this multi-faceted position, you will serve as one of the central coordinators for all program data calls, administrative taskers, and technical information management. Additional duties may include supporting other tasks assigned to the Director of Operations Team.

Key Roles and Responsibilities:

Serve as the primary Point of Contact (POC) for receiving, logging, tracking, and coordinating responses to all formal and ad-hoc data calls and administrative taskers from PEO Mission System leadership, NAVIFOR, Platform Type Commanders (TYCOMs), and other internal and external DoD stakeholders.
Liaise with system engineers, training developers, logistics analysts, and military leadership to collect, validate, and compile technical operational data, ensuring all submissions are complete, accurate, and delivered ahead of schedule.
Coordinate program office deliverables, documentation reviews, and workflows across Navy systems and knowledge repositories.
Perform administrative trend analysis on the data calls and related Director of Operation tasks.

Required Qualifications:

Experience: 3+ years of combined experience in DoD/Navy program support, IT administrative coordination, systems analysis, or technical administration.
Security Clearance: An active Secret security clearance is required. Applicants will be subject to a security investigation and must meet eligibility requirements for access to classified information.
Education: Bachelor's degree in Business Administration, Information Systems, STEM, or a related field (additional years of relevant operational Navy IT/program experience may be considered in lieu of a degree).

Technical Proficiency:

Demonstrated hands-on experience working with Navy and DoD processes within the Navy Acquisition environment.
Intermediate to advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Project) and Microsoft SharePoint/Teams.
Strong ability to comprehend technical information quickly and translate it clearly for diverse audiences spanning all levels of seniority.
Core Skills:
Provide administrative support to senior leadership in a DoD Program Office, ensuring smooth daily operations and project coordination.
Serve as the primary NIPRNET Datacall manager, ensuring timely coordination and submission of data requirements.
Act as the backup SIPRNET Datacall manager, supporting classified data call activities as needed.
Manage and organize documentation, including official correspondence, program files, ensuring compliance with regulations and procedures.
Maintain confidentiality of sensitive documents; handles sensitive documents with discretion and sound judgment.
Maintain accurate and effective task lists and report on progress as needed.
Able to adjust course when required while handling urgent, essential and high-pressure tasks as assigned.
Excellent verbal and written communication skills, with the ability to interact professionally with a variety of stakeholders.
Knowledge of Navy or military protocol.
ETMS familiarity

Desired Qualifications:

Prior experience directly supporting PEO C4I, NAVWAR, NAVIFOR, Platform TYCOMs, or Fleet Assessment Teams (such as ATG or IWTG).
Active certifications or DAWIA foundational equivalent certifications in Program Management or Life Cycle Logistics.
Demonstrated ability to show creativity, foresight, and mature judgment in solving problems effectively and efficiently.
Strong self-starter with proactive approach, able to multitask in a fast-paced environment, prioritize tasks, and work independently with minimal supervision.
Experience with proof-reading and routing official correspondence.
Work Environment & Physical Demands

Work Model: Onsite at government facilities in San Diego, CA. You will collaborate directly with colleagues, contractors, and government stakeholders in person.

Highly limited situational telework and flexible hours may be available during the workweek, strictly as approved by the Contract Program Manager.

Travel: No travel expected

Pay: $80,000.00 - $105,000.00 per year
