Full Job Description

Hours: 40 hours per week; Monday - Friday, 8:00 am to 4:30 pm

As an Office Manager, you will:

Support the Office Manager and/or Program Director to ensure the office operates efficiently and effectively. Performs a variety of clerical tasks in a fast-paced environment.

Duties include:

Full-service clerical and reception duties including greeting visitors, answering phones and screening calls, taking messages, typing, filing, scheduling meetings, opening and distributing mail and performing data entry
Assist with front office management and operations as directed
Build and audit of client medical records
Use Excel or other tracking system to maintain tracking sheets to support Accounting
Report and track information for program management
Work collaboratively with all other members of the program team
Maintain a high level of confidentiality

Our Adult Outpatient Programs (Areta Crowell Wellness Recovery Center, Douglas Young Wellness Recovery Center, Heartland Wellness Recovery Center, Jane Westin Center, Maria Sardinas Wellness Recovery Center, and South Bay Guidance Center) provide behavioral health services including psychiatric and clinical assessment, treatment planning, ongoing medication services, individual and group counseling, case management, crisis intervention, mobile outreach, vocational support, and peer support. We deliver fully integrated services to adult clients diagnosed with a serious mental illness, as well as individuals with co-occurring, mental health, and substance use disorders.

Jane Westin Center is a full-time urgent psychiatric walk-in center that provides screening, triage, clinical and psychiatric assessment, medication support, and discharge planning.

CRF staff members work together to meet the needs of San Diego County's residents who are experiencing mental/behavioral health challenges. Education: High School diploma/GED required

Additional Qualifications and Skills

At least one year of senior level administrative support required
College level math and communication skills preferred
Strong phone etiquette, ability to multi-task, ability to manage multi-phone lines, strong attention to detail, strong organizational skills, and must thrive in a fast-paced environment
Bilingual Spanish is preferred
Proficient computer skills, including intermediate MS Office knowledge
A valid California driver's license in good standing and eligibility to be an approved CRF driver is required to fulfill the essential functions of this position. In addition, proof of insurance is required prior to driving personal vehicles on company business.
Able to pass criminal/background clearance

Organizes, coordinates, and monitors all non-clinical administrative functions of the program office. Assists the Program Director, manages the medical records; maintains accounting and budget records for client and program expenditures. May act as lead for clerical and reception staff. Performs a variety of administrative and accounting tasks including data entry, reporting and tracking information for program management as well as maintaining accounts payable and receivable.

Compiles and analyzes information or data as requested and coordinates collection and preparation of operating reports. Acts as administrative liaison with the Central Office human resource personnel.
