The Administrative Services Representative – Concierge Medicine provides comprehensive administrative and operational support to the Concierge Office, contributing to efficient clinic operations and a seamless patient experience. Responsibilities include scheduling physician appointments, facilitating and coordinating specialty appointments both within and outside the Concierge Office, and supporting patient access and care coordination. This role manages insurance copay collections and large-scale cash transactions related to membership fees, maintains and optimizes clinician and Advanced Practice Provider (APP) schedules through template management, and ensures accurate telephone documentation and routing of patient encounters. The Administrative Services Representative works closely with specialty department staff to enhance coordination of care, responds to and processes prior authorization requests, and maintains physician panel lists to support effective clinic operations.

A minimum of six (6) years of related experience, education/training, OR, a Bachelor's degree in business, healthcare administration, or related area plus two (2) years or more of relevant experience.
A minimum of two (2) years of billing experience in a Primary Care or Internal medicine practice.
Familiarity of clinic medical billing practices including coding, billing systems and documentation requirements.
Knowledge of ambulatory care clinic practice management including patient care workflows and processes.
Demonstrated understanding of medical terminology and clinical knowledge of clinic practice area.
Working knowledge of medical center policies and procedures and related legislative, accreditation, licensing and compliance environments.
Strong verbal, written, and active listening skills, with the ability to clearly communicate clinic policies, procedures, and expectations to patients and team members.
Demonstrated interpersonal skills with diverse staff and patients. Demonstrated ability to develop working relationships within clinical team.
Strong organizational and time management skills, with the ability to prioritize competing responsibilities, take initiative, meet deadlines, and maintain accuracy in a fast-paced environment.
Proficiency with Microsoft Office applications, including Word and Excel, as well as experience using relevant healthcare and clinic operations information technology, including billing systems, medical record documentation, and data management tools.
Ability to analyze data, conduct research, and prepare clear, accurate reports to support clinic operations and decision-making.

Lean Six Sigma training or similar process-improvement experience.

Proficiency with Epic EHR system and related scheduling/billing applications.

Pay Transparency Act
Annual Full Pay Range: $65,125 - $94,858 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $31.19 - $45.43
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
