Full Job Description

Job Title: AP Claim & Settlement Specialist – SPEEDX
Location: 3623 Munster Ave, Hayward, CA 94545
Employment Type: Full-time
Hourly Wage: $24.00 per hour

Position Summary
Owns the end-to-end claims process against Delivery Service Partners (DSPs) for assigned stations within the SFO region, and concurrently manages weekly delivery fee settlement with sub-regional DSPs. Investigates parcel loss, theft, and scan-compliance failures attributable to DSPs; quantifies financial liability; files and defends claims; coordinates weekly payroll deductions with Accounting; and performs weekly reconciliation and settlement of delivery fees with DSPs based on actual performance data. Serves as the primary point of contact for DSP claim disputes and settlement inquiries within the region, while also serving as the key liaison with the HQ AP Claim team on regional claim performance, policy alignment, and reporting.

Key Responsibilities

Claims Management (Regional)

File and adjudicate claims against DSPs for parcel loss, theft, damage, and missed/failed scans (OFD, LOD, failed loading scans), applying the current SPX universal DSP claim value schedule.
Investigate root cause using parcel scan history, route data, OTP data, dispatch records, and video footage; maintain a complete, auditable claim file for every case.
Serve as primary contact for DSP disputes within the SFO region; review evidence, render decisions, and escalate high-dollar or complex cases with a clear recommendation to HQ.
Coordinate weekly payroll deductions with Accounting; reconcile claim ledgers against Accounting records and resolve discrepancies before payment cutoff.
Produce weekly and monthly claim reports for the SFO region covering total claim value, claim count by category, DSP-level breakdowns, and recovery rate; flag high-loss DSPs, routes, and shifts with recommended actions.
Apply DSP claim policy consistently across the SFO region; support rollout of policy and value updates; report any conflict-of-interest concerns or inappropriate offers from DSPs to senior leadership immediately.
Partner with station Ops, QA, and Tech to ensure timely evidence submission and resolve data integrity issues impacting claim accuracy.

Settlement Responsibilities (Regional)

Perform weekly delivery fee settlement with sub-regional DSPs, calculating payable amounts based on contracted rates, actual delivery volumes, service performance metrics, and applicable penalties/deductions.
Reconcile weekly delivery performance data (e.g., on-time delivery rates, failed scan rates, customer complaints) against system records to determine final settlement amounts.
Prepare and issue weekly settlement statements to each sub-regional DSP, clearly itemizing base fees, bonuses, penalties, and claim-related deductions.
Investigate and resolve settlement disputes raised by DSPs regarding fee calculations, volume discrepancies, or penalty applications, providing clear evidence and rationale.
Coordinate with Accounting and Finance to ensure timely and accurate settlement payments to DSPs in compliance with payment schedules and internal approval workflows.
Maintain a comprehensive settlement ledger for each DSP, tracking historical settlement amounts, adjustment notes, and outstanding reconciliation items.
Identify settlement data anomalies or systemic issues; escalate to management with recommended process improvements.
Collaborate with Ops, Billing, and Data teams to ensure settlement inputs (e.g., volume counts, scan data, route completion records) are accurate, complete, and submitted on time.

HQ AP Claim Liaison Responsibilities (Newly Added)

Serve as the primary point of contact between the SFO regional team and the HQ AP Claim team for all claim-related matters.
Align regional claim practices with HQ-defined policies, value schedules, and procedural updates; ensure consistent policy application across the region.
Submit regional claim reports, recovery summaries, and high-value case dossiers to HQ AP Claim Lead on a regular and ad-hoc basis.
Escalate regional claim trends, policy gaps, or system issues to HQ with actionable recommendations.
Participate in HQ-led claim review meetings and provide regional performance insights, dispute outcomes, and settlement data as required.
Coordinate with HQ on regional audit requests, ensuring timely and accurate submission of claim files, evidence packages, and settlement records.
Relay HQ-driven policy changes, system enhancements, and strategic initiatives to regional station teams and DSPs to ensure seamless implementation.

Qualifications

Bachelor's degree in Business, Logistics, Supply Chain, Finance, Data Analytics, or a related field; equivalent experience considered.
Strong Excel proficiency (pivot tables, XLOOKUP, conditional logic on 50K+ row datasets); SQL or BI tools a plus.
Strong analytical and investigative skills; clear written and verbal communication; high personal integrity for handling sensitive financial and conflict-of-interest situations.
Prior experience in logistics claims, DSP/third-party settlement, freight payment reconciliation, or cross-functional coordination with HQ/central teams is highly preferred.
Detail-oriented with strong numerical accuracy and ability to meet strict weekly deadlines.
Proven ability to manage stakeholder relationships across regional operations, finance, and headquarters functions.

Key Performance Indicators (KPIs)

Claim closure cycle time within policy aging threshold.
Recovery rate – dollars recovered vs. dollars claimed.
Quarter-over-quarter reduction in repeat-offender DSP claim volume.
Weekly payroll deduction accuracy (zero reconciliation breaks); low dispute overturn rate.
Weekly settlement accuracy – zero material errors in DSP payment calculations.
Settlement cycle time – all weekly settlements finalized and statements issued within the defined cutoff window.
DSP settlement dispute resolution time – average time to close settlement-related disputes.
HQ reporting timeliness and accuracy – 100% on-time submission of regional reports, case escalations, and audit responses to Regional.
