Part-Time Accounting & Administrative Assistant

Company: Dream Chasing Technology, Inc.
Location: Remote, with occasional in-person meetings in San Jose as needed
Job Type: Part-Time
Schedule: Approximately 15 hours per week
Pay: $27 per hour

Dream Chasing Technology, Inc. supports the U.S. sales, finance, and administrative operations of a growing arts and crafts brand. We work with customers, vendors, sales representatives, and international team members in a fast-paced small-business environment.

About the Role

We are seeking a reliable and detail-oriented Part-Time Accounting & Administrative Assistant to support our daily finance, administrative, and business operations.

This role will also assist with picking up returned products, inspecting and documenting their condition, and investigating return details to help determine whether customer refunds should be approved.

The ideal candidate is organized, comfortable working independently, and able to manage multiple accounting, administrative, wholesale, and e-commerce-related tasks with limited supervision.

The schedule is flexible, but the employee must communicate regularly, meet deadlines, attend occasional in-person meetings with the direct manager in San Jose, and assist with other reasonable business-related tasks as assigned.

Responsibilities

Assist with wholesale account support, including onboarding new wholesale customers and reviewing resale certificates
Pick up returned products when needed and inspect, document, and investigate their condition and return status
Provide return information and supporting documentation to assist with refund decisions
Maintain customer and vendor information, W-9 forms, contracts, resale certificates, and accounting records
Update Excel spreadsheets and internal tracking reports
Follow up with customers regarding invoices, payments, returns, and missing documentation
Assist with sales commission records and collect the information needed to calculate commissions accurately
Organize electronic files and maintain complete and accurate business documentation
Support business licenses, registrations, insurance, and other administrative matters
Monitor company mail and assist with general office administration
Assist with other accounting, administrative, e-commerce, and operational projects as needed

Qualifications

Previous experience in accounting, bookkeeping, office administration, warehousing, e-commerce, wholesale, or a related field
Basic understanding of accounts receivable, bookkeeping, e-commerce, and wholesale operations
Proficiency in Microsoft Excel, Word, Outlook, and Google Workspace
Experience with QuickBooks Online is preferred
Strong attention to detail and organizational skills
Ability to manage deadlines and work independently
Clear written and verbal communication skills
Ability to handle confidential information professionally
Reliable transportation for occasional product pickups and in-person meetings is preferred

Work Arrangement

Approximately 15 hours per week
Flexible working schedule
Primarily remote
Must live near San Jose or be comfortable traveling to San Jose for occasional meetings with the direct manager
Must be available for occasional return-product pickups as needed
Must accurately track working hours and provide regular progress updates
