Full Job Description

Weber & Company, Inc. is a full-service public accounting firm based in Silicon Valley, with a strong focus on international tax matters and client advisory services. The firm serves a diverse client base, including high-net-worth individuals and families, private equity firms, IT service companies, and SBA-regulated businesses. Team members have the opportunity to work on complex engagements in a collaborative professional environment.

The Office Coordinator is responsible for supporting the firm's day-to-day administrative functions. This role serves as a primary point of contact for office support, client reception, facilities coordination, mail processing, document management, meeting support, and administrative projects. The Office Coordinator helps maintain an organized, professional, and efficient office environment while providing exceptional service to employees, clients, and visitors.

Essential Duties & Responsibilities:

Office Administration & Client Service

Greet clients, visitors, vendors, and guests in a professional and welcoming manner.
Answer and route incoming telephone calls and messages.
Schedule appointments and assist with conference room coordination.
Monitor client check-in requests and visitor notifications.
Assist with general administrative support requests across the firm.

Mail, Document & Records Management

Sort, distribute, and process incoming and outgoing mail, including certified mail.
Log and track incoming notices and correspondence.
Scan, copy, assemble, and distribute firm documents as needed.
Assist with tax return assembly, document processing, and administrative workflow support.
Maintain organized electronic and physical filing systems.

Office Support & Facilities Coordination

Maintain conference rooms, kitchen, library, lunchroom, and common areas.
Restock office, kitchen, and conference room supplies.
Coordinate office supply purchases and maintain inventory levels.
Serve as a point of contact for building management, office vendors, and maintenance providers.
Coordinate office maintenance requests and facility-related issues.
Assist with workstation setup and office readiness for new employees.

Meetings, Events & Employee Support

Coordinate meeting room setup, refreshments, and cleanup.
Assist with firm events, employee celebrations, training sessions, and special projects.
Coordinate catering, food orders, and hospitality arrangements.
Support employee travel arrangements and administrative logistics.

Administrative Systems & Process Support

Monitor assigned administrative platforms and workflow systems.
Assist with document routing, task creation, tracking, and status updates.
Maintain office directories, phone lists, seating charts, and operational records.
Support operational process improvements and administrative projects.
Provide backup support to other administrative functions as needed.

Required Qualifications:

High school diploma or equivalent required; Associate's degree preferred.
Minimum of 2 years of administrative, office coordination, receptionist, or customer service experience.
Strong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, and Teams).
Ability to manage multiple priorities while maintaining attention to detail.
Excellent verbal, written, and interpersonal communication skills.

Preferred Qualifications:

Prior experience in a CPA, accounting, tax, or financial services firm.
5+ years of administrative experience in a professional services environment.
Experience in a professional services, accounting, legal, or consulting environment preferred.

Physical Requirements (if applicable):

Work Location & Schedule

This position is based fully onsite at our San Jose, California office.

Work schedules may vary throughout the year based on client demands, project deadlines, and peak business periods. Additional hours may occasionally be required, including during tax season and other high-volume periods.

Occasional travel to client sites or other business-related locations may be required.

Compensation & Benefits

Weber & Company, Inc. offers competitive compensation designed to recognize experience, technical expertise, professional certifications, and overall contributions to the firm. Final compensation will be determined based on experience, qualifications, certifications, skills, and business needs.

Compensation Range: $24.00 – $27.00 per hour

FLSA Status: Non-Exempt
