Job Description: Events Assistant – Almaden Golf & Country Club

Position Title: Events Assistant

Department: Food & Beverage / Events

Reports To: Events & Catering Manager

Status: Full-Time

Pay: $26-$32 an hour plus gratuities

Almaden Golf & Country Club is a premier, member-focused private club known for its championship golf course, exceptional hospitality, and beautifully appointed event facilities. From weddings and tournaments to member celebrations and poolside events, Almaden hosts a diverse range of functions that require polished professionalism and impeccable service. The Banquet Captain plays a key leadership role in delivering these high standards of excellence.

Position Summary:

The Events Assistant supports the Catering & Events Manager in the planning, administration, coordination, and execution of club events and private functions. This position plays a critical role in ensuring seamless event operations by managing event details, maintaining accurate administrative records, coordinating with internal departments, and providing exceptional service to members, guests, and vendors.

The Events Coordinator serves as the primary administrative support for the Catering & Events Department, assisting with event logistics, communications, Banquet Event Orders (BEOs), reservations, billing, and departmental organization. The ideal candidate is highly organized, detail-oriented, service-driven, and thrives in a fast-paced private club environment.

Essential Duties & Responsibilities

Event Planning & Execution Support:

Support the Catering & Events Manager in planning and executing member events, tournaments, social gatherings, holiday celebrations, and private functions.
Prepare and maintain Banquet Event Orders (BEOs), event timelines, room diagrams, and event documentation.
Coordinate event logistics with Culinary, Food & Beverage, Facilities, Golf, Greens & Grounds, and other departments.
Assist with event registration, reservations, guest lists, seating charts, and member communications.
Attend and support events as needed to ensure successful execution and member satisfaction.
Assist with event setup, décor coordination, signage, and post-event breakdown.
Oversee planning & execution of of internal & external events assigned to you by the Catering & Events Manager.

Administrative & Facility Responsibilities:

Provide day-to-day administrative support to the Catering & Events Manager.
Maintain department calendars, event schedules, and booking records.
Process contracts, deposits, invoices, and event billing information.
Manage departmental filing systems and event records.
Generate reports, correspondence, and event-related communications.
Assist with creating promotional materials, flyers, and event announcements.
Respond to member inquiries and event requests in a timely and professional manner.

Member & Guest Relations:

Deliver exceptional hospitality and customer service to members, guests, and vendors.
Act as a resource for event-related questions and requests.
Foster positive relationships while maintaining the club's service standards and culture.

Service Appearance & Professionalism:

Maintain standard business attire when not in uniform.
Uphold grooming and personal hygiene expectations in accordance with club policy.
Always model professional behavior and hospitality.

Experience & Skills:

1–3 years of hospitality, catering, club, hotel, or event experience
Strong administrative skills
Experience with BEOs, member communications, and event logistics
Ability to work independently and support a busy events department

PHYSICAL DEMANDS: Stands/walks approximately 40% of shift. Sits at desk or in meetings approximately 60% of shift. Occasionally required to handle and move objects weighing up to 40 lbs. over short distances. Must be able to work under pressure. Must be flexible to work long, sometimes irregular hours.

IMPACT OF DECISION: Decisions directly impact profitability of the Banquets Department Poor decisions may result in customer dissatisfaction and loss of revenues, due to lack of follow-up, ineffective management of staff, lack of customer knowledge, unsafe work practices, or improperly handled customer service situations.

GENERAL: Must comply with the Company’s Appearance and Dress Code policy as set forth in the Employee Handbook.

JOB CLASSIFICATION: The position is classified as Full-Time and, upon completion of the Introductory Period, the employee is eligible for the Employee Benefits outlined in the Employee Handbook. Notwithstanding the foregoing, the Company reserves the right to amend, change or discontinue the policies, practices and benefits described in the handbook at any time and without notice.

NON-EXEMPT POSITION: Non- exempt employees are subject to the wage and hour laws and entitled to overtime pay. All overtime work by a non-exempt employee must be approved in advance by the employee’s Supervisor of the General Manager and the time initiated by him/her on the time card. Non-exempt employees who work overtime without prior approval are subject to disciplinary action, including termination.

AT-WILL EMPLOYMENT: The relationship between Almaden Golf Club and the employee is for an unspecified term and is considered “at will.” This means that the terms and conditions of employment maybe changed, with or without cause and with or without notice, including, but not limited to termination, demotion, promotion, transfer, compensation, benefits, duties and location of work. No one other than the Owner of the Company has the authority to make any verbal or written agreement contrary to this provision and any such agreement must be put in writing and signed by the Owner before it is effective.

Pay: $26.00 - $32.00 per hour
