Full Job Description

Medical Practice Administrator / Office Manager

This is a hands-on leadership position responsible for staff management, office operations, payroll preparation, human resources, revenue-cycle oversight and regulatory compliance. The Practice Administrator reports directly to the physician-owner.

Compensation

Starting salary: $85,000–$95,000 annually, depending on experience
Performance bonus opportunity of up to $5,000 annually

Responsibilities:

Staff Management and Human Resources

Supervise front-office, back-office, clinical and administrative employees
Establish staff schedules and arrange coverage for absences
Monitor attendance, punctuality, productivity and workplace conduct
Conduct onboarding, training, performance reviews and coaching
Document performance and attendance concerns
Prepare written warnings and performance-improvement plans when appropriate
Investigate employee complaints and workplace concerns objectively
Recommend hiring, discipline and termination decisions to the physician-owner
Maintain complete and confidential personnel files
Apply office policies consistently and professionally
Help maintain compliance with California wage-and-hour, sick-leave, meal-period and employment requirements

Payroll and Timekeeping

Review employee timecards against schedules and attendance records
Verify regular hours, overtime, paid sick leave, vacation and holiday pay
Require documentation or electronic requests for all time-off entries
Prepare payroll accurately and submit it for physician-owner approval
Reconcile each payroll before processing
Maintain an audit trail for payroll and leave adjustments
Coordinate payroll taxes, deductions, garnishments and employee payroll questions
Process final-payroll calculations in consultation with the physician-owner and outside HR or legal advisers
Immediately escalate unusual payments, manual adjustments, bonuses, leave payouts and off-cycle payroll requests

The Practice Administrator may prepare payroll but may not independently approve final payroll, alter leave balances, issue bonuses, cash out sick leave, initiate final checks or release off-cycle payments without written physician-owner authorization.

Medical-Practice Operations

Manage daily patient-flow and administrative operations
Ensure adequate front-office and medical-assistant coverage
Monitor telephone messages, referrals, prior authorizations and patient requests
Coordinate provider schedules and clinic templates
Identify workflow problems and implement practical improvements
Manage vendors, utilities, supplies and facilities within approved budgets and authority
Maintain written office procedures and accountability systems
Provide the physician-owner with regular operational reports

Billing, Credentialing and Revenue-Cycle Oversight

Oversee billing workflows and communication with outside billing personnel
Monitor claims, denials, aging accounts receivable and collection trends
Maintain payer and prior-authorization portal access
Coordinate office and provider credentialing under physician-owner authorization
Track credentialing, license and contract renewal deadlines
Escalate significant payer, billing or compliance concerns promptly
Protect passwords, financial information and sensitive business records

Compliance

Support compliance with HIPAA, OSHA, employment and medical-practice requirements
Maintain required training and policy documentation
Protect patient, employee and business information
Report potential compliance, financial or personnel problems directly to the physician-owner
Cooperate with outside payroll, HR, legal, accounting and compliance professionals

Requirements:

At least five years of medical-office or healthcare-practice management experience
Demonstrated experience supervising employees and addressing performance problems
Direct experience with payroll, timekeeping and leave administration
Working knowledge of California employment practices
Experience with medical billing, payer portals, credentialing and prior authorizations
Strong organizational, documentation and communication skills
High degree of integrity, discretion and accountability
Ability to communicate difficult decisions calmly and professionally
Proficiency with Microsoft Office, Google Workspace and electronic payroll systems
