The US affiliate of DISCO Corporation, DISCO HI-TEC AMERICA, INC. (DHA), based in San Jose, CA, is looking for a dynamic and detail oriented Sr. Payroll Specialist to take ownership of our entire payroll function in our payroll team. As our company grows, you will play a pivotal role in ensuring accurate, compliant, and timely payroll processing.

This is a full-time position with benefits including Bonuses, Insurance (Medical, Dental, Vision, Life), Health Savings Account, 401(k) program, Paid Time Off and Paid Holidays.

Essential Job Functions:
- Manage the end-to-end multi-state U.S. payroll process for approximately 260 employees, ensuring accurate, timely, and compliant payroll processing.
- Oversee payroll administration for employees in two international Employer of Record (EOR) locations, ensuring compliance with company policies and applicable regulations.
- Manage multi-state payroll tax compliance, including state and local withholding, State Unemployment Tax (SUTA/SUI) rates, and applicable tax reciprocity agreements.
- Manage state payroll registrations and compliance by registering the company with new state tax and workforce agencies and ensuring adherence to state-specific payroll and employment laws, including minimum wage, overtime, and paid leave requirements.
- Ensure compliance with all applicable federal, state, and local payroll laws, regulations, and internal company policies.
- Generate, reconcile, and analyze payroll data using advanced Microsoft Excel (including PivotTable, XLOOKUP/VLOOKUP, formulas, etc.) to ensure payroll accuracy and support management reporting.
- Prepare payroll reports and financial summaries for Headquarters in Japan.
- Identify, investigate, escalate, and resolve payroll issues while maintaining accuracy, compliance and timeliness.
- Respond to employee inquiries regarding payroll, paychecks, tax withholding, deductions and related payroll matters.
- Develop, maintain, and continuously improve payroll Standard Operating Procedures (SOPs) and process documentation to enhance efficiency and consistency.
- Perform complex payroll calculations, including gross-up calculations, relocation benefits, bonuses, and other taxable employer-paid benefits. Provide guidance, training, and mentorship to junior payroll team members while promoting payroll best practices.
- Participate in cross functional projects, continuous improvement initiatives, and other DISCO corporate activities that support operational excellence and organizational growth.
- Perform other duties as assigned in support of the Operations Department.
Qualifications:
- Thorough understanding of federal, state, and multi-state payroll laws and compliance requirements.
- Detail-oriented with strong analytical, problem-solving, interpersonal, and written/verbal communication skills.
- Self-motivated, flexible, and able to work independently with minimal supervision while driving continuous process improvement.
- Certified Payroll Professional (CPP) certificate preferred.
- Japanese language proficiency is a plus.
- Knowledge of employee benefits administration is a plus.
Education and Experience:
- 8+ years of corporate payroll experience.
- Experience processing and analyzing payroll while ensuring compliance with federal, state, and local payroll tax regulations.
- Experience working in a fast-paced, growing organization with 200+ employees.
- Advanced proficiency in Microsoft Excel; proficiency in Microsoft PowerPoint.
- Experience in manufacturing or a similar industry is preferred.
