Full Job Description

Overview
On behalf of our client, a well-established operator of multiple businesses including a bakery, taqueria, pizzeria, and laundromat located within a busy shopping center, we are seeking an experienced Office Admin on a part time basis. This individual will oversee administrative operations across all businesses, handling a wide range of financial, operational, and managerial tasks. The Office Manager is a key player in ensuring the smooth, organized, and efficient operation of the businesses.

This is a hands-on role ideal for a motivated, bilingual (English/Spanish) professional with strong organizational skills, basic accounting knowledge, and the ability to manage multiple priorities with minimal supervision.

Responsibilities

Serve as the primary point of contact for office operations and assist owners with a variety of administrative and operational projects

Maintain office procedures, including payroll preparation, correspondence control, and general data entry

Manage accounts payable via QuickBooks, maintaining accurate and organized records across all business entities

Review staff daily reports, input data into internal systems, and approve maintenance work orders

Oversee timecard management, monitoring overtime, meal breaks, and overall attendance compliance

Proactively manage inventory for office, restaurant, and bakery supplies

Support light accounting functions, including Positive Pay Bank System approvals and petty cash reconciliation

Conduct detailed data entry and maintain production records (e.g., bakery production, cash logs, invoice tracking)

Handle confidential information with professionalism and discretion

Provide general assistance to ownership on special projects as needed

Office Manager Qualifications / Skills:

· Highly motivated

· Bilingual in Spanish & English

· Ability to communicate effectively with supervisors, team, and management.

· Professional, reliable and trustworthy

· A problem solver and resourceful

· Able to work with minimal supervision

· Strong phone etiquette and interpersonal skills.

· Familiarity with payroll processes is a plus

· Basic understanding of budgeting principles.

Requirements:

· High school diploma, GED, or equivalent

· Three to 5 years’ experience as Administrative Assistant or Office Manager

· Proficient with Office Microsoft software and QuickBooks

· Bilingual in English and Spanish

Physical Demands:

· Must be able to lift, pull and push up to 30 pounds.

· Must be able to stand and/or sit for up to 8 hours.

· You must be able to bend, push, swing, kneel, turn without any problem.
