Job Summary:
As a hands-on leader and vital member of the Management Team, the Director of Finance and Student Services is responsible for defining the process and implementing the infrastructure/systems needed to support CSMA’s financial growth and sustainability. They will provide high-level oversight and set the process for day-to-day execution of CSMA’s finance and student service systems. This position reports to the Executive Director
This role demands sharp business acumen and a roll-up-your-sleeves mentality. You will navigate complex financial structures and financial operations across multiple overlapping programs. You will work cooperatively and strategically with the Executive Director and the Board of Directors Finance Committee and directly supervise the finance and registration/student services team to ensure CSMA remains financially sustainable, highly efficient, and fully compliant with all nonprofit regulations.
Primary Duties and Responsibilities:
Financial Management
- Supervise the execution of day-to-day accounting functions including fund accounting, general ledger, accounts payable/receivable, and cash flow management.
- Perform and support month-end closing procedures, including preparing reports and statements per internal and external reporting requirements
- Review monthly results and implement monthly variance reporting
- Develop and implement policies and procedures to ensure efficiency, accuracy, and financial integrity
- Supervise and mentor two finance staff members, providing training, guidance, and performance evaluation
- Collaborate with program managers/directors and other departments to provide financial insights and ensure proper grant and contract management
- Serve as primary contact person for all financial institutions and insurance brokers
Budgeting and Forecasting
- Lead the annual budget process by directing and executing the entire end-to-end annual budgeting cycle, developing master operational budgets, revenues, incomes, spending plans, and forecasts.
- Work closely with individual program managers to evaluate program-specific cost drivers and establish optimized pricing structures/ strategies for each program
Board and Finance Committee
- Serve as the primary staff support and contact person for the Finance Committee
- Assist Executive Director and the Finance Committee with financial reporting and financial forecasting
- Attend Board meetings on a quarterly basis to present finance reports
Compliance and Audit
- Develop, implement, and ensure compliance with internal financial and accounting policies and procedures
- Ensure all statutory and tax requirements of the organization are met, including Charitable Status
- Main point of contact for annual financial and nonfinancial audit, including preparing all supporting information and documentation and liaising with Executive Director and auditors
Program management accounting
- Maintain financial records for each program in a manner that facilitates monthly program reports.
- Ensure that accurate and timely financial reports are prepared in accordance with contract agreements with funders and partners.
Student Services/Registration
- Oversee and supervise Student Services Staff and Registrar
- Oversee program enrollment process, and ensure that payments and recordkeeping are in compliance with federal and state regulations.
- Ensure Student Services and Registrar provide high-quality, responsive support for all student needs.
- Oversee the administration of student tuition Financial Aid program
- Oversee implementation of a new registration system for student services and finance.
Bi-weekly Payroll
- Collaborate with HR and third-party payroll provider for bi-weekly payroll processing
- Maintain absolute compliance regarding payroll taxes, statutory deductions, 403B retirement and accurate labor cost allocations across departments/ programs
Skills/Qualifications/Experience
Education and Experience
- Education: Bachelor’s degree in Accounting, Finance, Business Administration or related field, MBA preferred
- Professional certifications (CPA, CMA), or equivalent certification
- Deep understanding of GAAP and nonprofit tax compliance
- 10 years of significant financial and accounting experience, including 5+ years in nonprofit finance and operations leadership
- At least 5 years of supervisory experience
- Direct experience with the full-cycle of nonprofit financial management, including budgeting, reporting, annual audits, and payroll processing.
- Strong background in complex programmatic costing, budgeting and cost allocation
- Senior management experience is preferred
Systems
- Fluency with QuickBooks, ADP Workforce Now, Google and Microsoft Office suite

- Fundamental knowledge of information technology systems
- Superior organization skills; ability to multi-task
- Excellent communication and collaboration skills and the ability to present effectively to senior management, the Board of Directors, and external parties both verbally and in writing
Physical Demands
- The employee is regularly required to talk, hear, walk, stand, bend, kneel and crouch
- The employee must lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds.
- This job requires extended periods of time at a computer, including close and distant vision and ability to adjust focus
- This role routinely uses standard office equipment
Schedule:
- Monday to Friday with occasional evening/weekend work to support community events.
- First 6 months: a minimum of 3 days on site
- After 6 months: based on current practice, all full-time employees work 2 days onsite.

Pay: $150,000.00 - $165,000.00 per year
