Full Job Description

Part-Time | Approximately 30 Hours Per Week

Overview

The Operations & Collections Coordinator partners closely with the Chief Operating Officer & Chief Financial Officer to support the firm’s day-to-day administrative, operational, and billing functions. This position plays an important role in maintaining organized office operations, supporting client billing and collections processes, coordinating vendors and administrative tasks, and assisting with general operational needs across the firm.

The ideal candidate is highly organized, responsive, detail-oriented, and comfortable working in a professional services or law firm environment.

Duties and Responsibilities

Operations & Administrative Support

· Support the day-to-day administrative and operational needs of the law firm.

· Serve as a primary administrative resource to the Chief Operating Officer & Chief Financial Officer.

· Coordinate office vendors, service providers, and office-related maintenance requests.

· Manage office supply ordering and maintain appropriate inventory levels.

· Assist with insurance renewals, tracking, and related administrative documentation.

· Support invoice processing and coordination for payment approval.

· Maintain electronic document and file storage systems.

· Assist with organizing and maintaining operational records and files.

· Troubleshoot routine office and equipment issues as needed.

· Handle confidential and sensitive information with professionalism and discretion.

· Support additional administrative and operational projects as assigned.

Billing & Collections Support

· Assist with client follow-up regarding outstanding balances and declined payments.

· Generate monthly pre-bills and draft invoices for attorney review.

· Prepare and distribute finalized invoices and supporting documentation.

· Maintain client billing information within the firm’s systems.

· Respond to client and internal billing inquiries in a timely and professional manner.

· Assist with tracking accounts receivable activity and reporting information to leadership.

· Coordinate with attorneys and clients regarding billing-related matters as needed.

Payroll Support (Backup Function)

· Provide backup administrative support related to payroll processing.

· Coordinate with the payroll vendor and firm leadership regarding payroll-related information.

· Assist with payroll-related administrative inquiries as needed.

· Maintain confidentiality of payroll and employee information.

Qualifications

· 2–3 years of experience in a law firm or professional services environment in an administrative, billing, or operations-focused role.

· Experience with legal billing or other closely related timekeeping systems preferred.

· Basic understanding of accounting principles and accounts receivable processes.

· Strong organizational and follow-through skills with attention to detail.

· Ability to manage multiple priorities in a fast-paced environment.

· Strong communication skills, both written and verbal.

· Demonstrated ability to handle confidential information with discretion.

· Proficiency in Microsoft Office Suite, particularly Excel.

· Experience coordinating vendors and office operations is a plus.

· Bachelor’s degree preferred.

Pay: $31.25 - $40.86 per hour
