Operations & Project Coordinator

Location: San Luis Obispo, CA (In Office)
Schedule: Monday–Thursday, 7:00 AM–4:00 PM | Friday, 7:00 AM–12:00 PM
Compensation: $60,000-75,000 annually (DOE)

Carecraft Pools is a custom pool builder serving California's Central Coast. We take pride in delivering exceptional craftsmanship and an outstanding customer experience from the initial consultation through project completion.

We're looking for an organized, proactive, and customer-focused Operations & Project Coordinator to become an integral part of our team. This position supports the day-to-day operations of the business by coordinating administrative tasks, assisting with project management, maintaining financial records, supporting customers, and helping keep projects running efficiently.

Key ResponsibilitiesProject & Customer Support

Provide exceptional customer service throughout the construction process.
Respond to customer questions via phone and email.
Coordinate customer appointments and project-related communications.
Support project managers with scheduling, documentation, and administrative needs.
Maintain organized project files and documentation.
Assist homeowners with selecting pool finishes, tile, coping, and other design materials when needed.

Accounting & Financial Administration

Prepare and send customer invoices through QuickBooks according to project milestones.
Track customer payments and follow up on outstanding balances.
Enter and process vendor invoices in QuickBooks.
Assist with accounts payable and accounts receivable.
Maintain accurate customer and vendor records.
Track project expenses and purchase orders.
Assist with monthly bookkeeping and administrative accounting tasks.

Subcontractor & Vendor Administration

Maintain current subcontractor insurance certificates, licenses, and required documentation.
Monitor expiration dates and request updated insurance and licensing information.
Maintain organized vendor files.
Coordinate invoice processing and vendor communications.

Office Operations

Answer phones and greet customers and vendors.
Prepare contracts, proposals, permits, and other project documents.
Manage calendars, appointments, and office correspondence.
Order office supplies and assist with general office organization.
Identify opportunities to improve office processes and efficiency.

Marketing & Social Media

Create and schedule social media posts showcasing completed projects and company updates.
Assist with project photography and content creation.
Help maintain marketing materials and website content.
Support additional marketing initiatives as needed.

Qualifications

We're looking for someone who is:

Highly organized with exceptional attention to detail.

An excellent written and verbal communicator.
Comfortable managing multiple priorities and deadlines.
Proactive, dependable, and able to work independently.
Positive, adaptable, and eager to learn.

Preferred Experience

Experience using QuickBooks.
Administrative, operations, or project coordination experience.
Customer service experience.
Experience in construction, home improvement, interior design, or a related industry is a plus.
Experience with Microsoft Office, Google Workspace, and social media platforms such as Facebook and Instagram.
