Fairview Wedding & Events is looking for the next budding superstar to join our growing team! With 7 locations throughout California and continued growth ahead, we are seeking a motivated, enthusiastic, and detail-oriented Full-Time Weddings & Events Sales Coordinator/Banquets Event Order (BEO) Coordinator to join our Crystal Springs location in Burlingame.

The Weddings & Events Sales Coordinator/BEO) Coordinator plays an important role in supporting the Wedding & Event Sales office and ensuring every event is organized and executed successfully. This position will coordinate booked events, prepare and manage BEOs, communicate event details with clients and internal operations teams, and help create an exceptional experience for our couples and guests.

This is an ideal opportunity for someone who enjoys working with clients, thrives in a fast-paced event environment, and has the organizational skills to manage multiple weddings and events at various stages of planning.

Essential Functions include:

Event Coordination & BEO Management

Coordinate weddings, corporate events, and social celebrations from planning through execution.
Serve as a primary client contact, conducting planning and final-detail meetings.
Prepare, update, and distribute accurate BEOs, timelines, floor plans, contracts, and event files.
Coordinate menus, beverages, room setups, vendors, guest counts, dietary needs, and special requests.
Communicate event details, changes, and client expectations to culinary, banquet, F&B, and management teams.
Track key deadlines, including guest counts, menu selections, payments, and event requirements.
Participate in BEO and operations meetings and assist with event-day coordination as needed.

Sales & Guest Service Support

Provide professional, responsive service and build strong relationships with clients, vendors, and event professionals.
Identify opportunities to enhance events through additional food, beverage, décor, rentals, and services.
Support Sales with inquiries, scheduling, venue tours, and general sales administration.
Maintain accurate CRM records and client information.
Support sales and revenue goals through exceptional service, organization, and upselling.
Collaborate with Sales and Operations to ensure a seamless client experience from booking through event completion.

Job Specifications / qualifications

1+ year of hospitality, catering, wedding, banquet, or event experience preferred.
BEO preparation or event detailing experience preferred.
Strong organization, attention to detail, communication, and guest-service skills.
Ability to manage multiple events, deadlines, and priorities in a fast-paced environment.
Proficiency with Microsoft Office and CRM/event management software.
Collaborative, adaptable, and solution-oriented when working across Sales, F&B, Culinary, and Operations.
Evening and weekend availability based on the event calendar.
