Bookkeeping / Payroll Assistant

Overview
We're looking for a reliable, detail-oriented Bookkeeping / Payroll Assistant to support day-to-day bookkeeping and payroll across several closely held companies — rental property management, a fine art/artist enterprise, a veterinary hospital, and a lodging facility. This is a genuinely part-time role, built for someone who wants steady, meaningful work with real work/life balance rather than a full-time grind.
You'll work closely with and report directly to the lead bookkeeper, who oversees the books for all entities (about 25 employees total). Strong, hands-on QuickBooks skills and payroll accuracy are the top priorities — experience in property management or hospitality is a plus but not required. The ideal candidate enjoys order and consistency, follows established processes carefully, and takes pride in being a dependable right hand.
Pay & Schedule
Starting Wage: $18/hour, with wage adjustments as experience and performance warrant it
Review: After 150 hours, based on accuracy, efficiency, pace, and aptitude
Hours: 15–25 hours/week
Schedule: Flexible within 9:00am–4:00pm; occasional weekend availability may be requested
Key Responsibilities
Bookkeeping
- Assist with maintaining accurate financial records for multiple entities; record and post daily transactions
- Help reconcile bank and credit card accounts
- Support accounts payable and receivable under the lead bookkeeper's direction
- Track expenses, income, reimbursements, and intercompany transactions
- Assist in preparing monthly financial statements and bringing books to trial balance
- Support budgeting, cash flow tracking, and year-end close for CPAs and tax professionals
Payroll
- Assist with processing payroll accurately and on time for ~25 employees — wages, hours, bonuses, reimbursements, and contractor payments
- Help file payroll taxes and manage withholdings in compliance with federal, state, and local regulations
- Maintain payroll records and confidential employee files; handle onboarding paperwork (W-4s, I-9s, direct deposit)
- Help resolve payroll discrepancies and respond to routine employee payroll questions, escalating as needed
Compliance & Reporting
- Assist with quarterly reports, year-end adjustments, and sales/use tax filings
- Maintain organized, audit-ready records
- Support coordination with banks, lenders, and outside accountants as directed
General Office Support
- Help keep financial and office paperwork filed and organized
- Assist with light correspondence and email as needed
- Order office supplies and help with other day-to-day administrative tasks
- Some light housekeeping
Qualifications
- Hands-on QuickBooks experience required (1+ year preferred)
- Prior bookkeeping and/or payroll experience, with strong AP/AR and payroll accuracy
- Comfortable working under the direction of a lead bookkeeper and following established processes
- Property management, hospitality, veterinary, or small business experience a plus
- High accuracy, strong organization, and excellent attention to detail
- Reliable and able to meet deadlines with minimal oversight once trained
- Discretion and professionalism with sensitive financial and personnel information
