Full Job Description

Office Admin

Location: Bellevue, OH
Schedule: Monday–Friday, 8:30 AM – 5:00 PM (30-minute unpaid lunch)
Starting Pay: $18.00–$22.00 per hour (based on experience)

About the Position

We are seeking an organized, motivated Office Admin to join our team in a mom-pop shop manufacturing environment. This position is ideal for someone who enjoys variety in their workday, is comfortable juggling multiple responsibilities, and takes pride in staying organized and keeping operations running smoothly.

Our company SCS Gearbox, started in 1979 and designs and manufactures drivetrain components for the high-performance off-road industry, including truck and tractor pulling, monster trucks, 4x4 off-road vehicles, show truck builds, and rock bouncers.

Every day is different, and we are looking for someone who enjoys working in a team-oriented environment where no two days are the same.

Responsibilities

Answer and direct incoming phone calls.
Maintain a daily call log and accurately document customer interactions.
Keep customer contact information current, including phone numbers and email addresses.
Communicate professionally through email and other written correspondence.
Assist with order processing, customer service, and general office administration.
Enter data accurately, maintain organized records, filling as needed.
Use QuickBooks for various accounting and administrative tasks (experience preferred but training is available).
Coordinate daily freight shipments and shipping paperwork (experience preferred but training is available).
Work closely in and with the shipping area to get completed orders correctly boxed up and headed to their destination.
Assist with inventory management, including; Putting inventory away, Counting inventory, Organizing stock, Restocking hardware and parts for the assembly area.
Assist with general shop tasks as needed.
Identify problems and work toward solutions with minimal supervision.
Take detailed and accurate notes during meetings, phone calls, and customer interactions.
Be proactive by identifying tasks that need completed without waiting to be assigned.

Qualifications

Previous office administration or receptionist experience preferred.
Experience answering multi-line phone systems.
Strong computer skills and the ability to learn new software quickly.
QuickBooks experience is a plus but not required—we are willing to train.
Experience with freight, shipping, or logistics is a plus but not required—we are willing to train.
Excellent organizational and time-management skills.
Strong multitasking abilities.
Professional verbal and written communication skills.
Strong attention to detail.
Ability to work independently while contributing to a team environment.
Positive attitude and willingness to learn.

Physical Requirements

Ability to regularly lift 20–50 pounds, over 50 pounds there is always someone else around to ask for assistance from.
Comfortable standing on concrete floors for extended periods while assisting in the shipping department.
Ability to kneel, sit, stand for extended periods of time.
Willingness to move between office and warehouse/shop environments throughout the day.
Comfortable working in a manufacturing environment. The office is climate-controlled with heating and air conditioning; however, shop and warehouse areas are not temperature controlled.

Work Environment

This position combines office work with hands-on support in our shipping and warehouse operations. While most administrative duties are performed in a climate-controlled office, employees should expect to spend time in the production and shipping areas as needed.

Schedule & Expectation

Monday through Friday
8:30 AM – 5:00 PM
30-minute unpaid lunch
Occasionally, certain tasks may require staying a few minutes past 5:00 PM to finish the day's work.
