Full Job Description

Job Overview

We are seeking a dynamic and highly organized Office Manager/Bookkeeper to join our team! This vital role combines administrative leadership with financial oversight, ensuring the smooth operation of daily office functions while maintaining accurate financial records. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. In this role, you will manage office workflows, coordinate client and staff communications, handle bookkeeping tasks, and support overall office efficiency. Your energy and enthusiasm will help foster a positive work environment and ensure our operations run seamlessly.

Duties

Oversee daily office operations, including managing multi-line phone systems, front desk duties, and general administrative support
Maintain organized filing systems, process data entry tasks, and ensure accuracy in all clerical activities
Manage bookkeeping responsibilities using QuickBooks online accounting software, including invoicing, expense tracking, and bank reconciliations
Coordinate calendar management and schedule appointments for staff and clients with attention to detail
Provide exceptional customer service by responding promptly to client inquiries via phone or email, ensuring clear communication and professionalism
Support office management tasks such as ordering supplies, maintaining office equipment, and ensuring a tidy workspace
Assist with special projects related to administrative or clerical functions as needed

Requirements

Experience in office management or administrative roles with strong organizational skills preffered
Demonstrated proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity software
Excellent computer literacy with the ability to perform data entry, word processing, proofreading, and file management efficiently
Strong communication skills including phone etiquette and client interaction in bilingual settings preferred
Knowledge of bookkeeping practices and financial recordkeeping using QuickBooks or similar tools required
Ability to multitask effectively while managing time efficiently in a fast-paced environment
