Brief Summary of Job Duties:
Under the general supervision of the Sr. Superintendent, the incumbent is the frontline manager for all aspects of the department's Grounds program involving 28 FTE Grounds staff who maintain 250 acres of campus hardscape and landscape. Incumbent assists the Sr. Superintendent in management responsibility for the achievement of operational, personnel, and customer satisfaction objectives for all staff. Assists in the leadership and vision of the implementation and management of a comprehensive grounds maintenance and landscape operation for all of Housing, Dining & Auxiliary Enterprises facilities and other University-owned areas.

4-6 years of experience in the landscaping industry

1-3 years of experience in dealing with regulatory agencies, specifically water districts and municipalities

1-3 years of demonstrated leadership and supervisory experience

Must possess a valid California DPR Qualified Applicator’s License or Certificate Category A, or a California Structural Branch 2 license. Must also maintain licenses through the accumulation of the required Continuing Education Units (CEUs), respective to each license within 1 Year.

Job Functions and Percentages of Time:
60% Grounds Maintenance and Project Management - In collaboration with the Sr. Superintendent, plans and coordinates all phases of HDAE Landscape operations and maintenance. Management of the Grounds budget of $2,700,000 and major maintenance projects of approximately $4,000,000. Manages and processes Gateway procurement purchases for the Housing Grounds Department. Responsible for the Grounds tree work budget of $150,000+ annually with 5 vendors. Manage and continue to improve the TreeKeeper online tree management program with a 10,000+ tree inventory. Manage concrete grinding vendor blanket and a fencing vendor blanket annually. TPS Lot Maintenance Superintendent Responsibilities: Acts independently and coordinates HDAE maintenance service with the Director of TPS with projects, renovations, and maintenance of over 2 million sq. ft. of parking structures, 30 single-level parking lots, and associated landscape and hardscape repairs. Supervises and directs work in all interior TPS buildings, workshops, and elevators, including electrical, plumbing, roofing, and custodial needs. Manage a $55,000 annual TPS lot maintenance budget. Negotiates and manages a $30,000 annual tree vendor blanket for TPS maintenance. This includes all tree trimming and all parking lots. Researches, negotiates, and manages the parking lot sweeper program and maintenance contract. Assists in the management of capital projects as they relate to exterior landscape, hardscape, and irrigation. Meets, confers, and plans work with internal and external clients. Provides effective responses to daily and emergency work requests. Prepares notifications for projects that will impact residents and staff. This includes notifications of planned work, specific scheduling, and follow-up after the work is completed. Responsible for executing and coordinating work with outside contractors. Utilizes industry standards to categorize the level of service and attention for each exterior area. Based on this categorization, establishes a grounds maintenance schedule with the appropriate daily, weekly, monthly, and annual frequencies. Ensures that established frequency levels are being completed as planned and revised as necessary. Responsible for submitting the purchase requisitions in accordance with established guidelines to ensure availability of materials, supplies, and equipment required to perform work on a day-to-day basis, as well as planned project work. Computerized Maintenance Work Order System: Utilizes a computerized maintenance work order system to process online work requests from clients. Maintains data daily to ensure emergency work requests are completed as soon as possible & routine work requests are completed within 48 hours. Determines and monitors stock inventory levels. Develops cost estimates to support requests for completion of ground services or projects. Evaluates, tests, and deploys various grounds equipment to ensure efficient operations that align with electrification goals and requirements.
30% Supervision - Oversees the day-to-day maintenance and landscape projects of staff across the UCSB campus, in the following areas, but not limited to: TPS, University Center, Events Center, Commencement Green, The Club & Guest House, and other campus areas. Parking lot sweeping, BMW work in all TPS buildings, shops, and elevators. Parking lot painting, signage installation, irrigation repairs, turf maintenance, and routine trimming of shrubs and groundcover plantings. Oversees the proper application of fertilizers and herbicides to align with UC Integrated Pest Management (IPM) requirements. Supervises the operation of manual and semi-automated irrigation systems, maintenance of heavy equipment and tools, and the cleaning and repair of hard-surfaced walkways, bike paths, walkways, service yards, and parking areas surrounding HDAE facilities and campus grounds. Supervises and advises on composting projects. Ensures staffing levels are maintained adequately to provide maintenance and service to a population of over 10,000 student residents. Responsible for approving timecards for supervised staff. Approves vacation requests and reassigns personnel as needed when employees are absent. Supervises weekend work. Ensures that all performance evaluations are conducted annually.
10% Leadership, Education, & Communication - Ensures that all University and Departmental policies and procedures are followed. Participates in the development of a 3-5 year long-range planning process. Assesses the work area for changes and/or new additions of landscaped areas, irrigation systems, and safety issues. Works with a diverse student body and staff. Promotes a customer service environment for residents/clients. Develops, promotes, and adheres to safety rules, standards, or techniques as an integral part of business. Specific ongoing responsibilities for assessing work duties and routine tasks to prevent injuries. Works closely with other departmental and campus managers to effectively achieve the goals and objectives of HDAE. Provide support to the HDAE Leadership Team to achieve the goals and mission of the division. In compliance with HDAE goals and objectives, the department affirms and implements the Educational Equity Plan comprising short and long-term goals that reflect a systematic approach to preparing both students and staff for success in a multicultural society. Assists with the development and maintenance of a work environment that is conducive to meeting the mission of the organization and supports the EEP. Initiates communication directly with co-workers and/or supervisors to improve and clarify working relationships, identify problems and concerns, and seek resolution to work-related conflicts. Anticipates and plans for the training and educational needs of staff to promote their professional development. Provides or schedules training in the use and maintenance of state-of-the-art equipment, the maintenance/care of new landscape, irrigation systems, and other applicable training to maintain the highest standards. Develops staff’s skills on an ongoing basis in the areas of grounds management, computer literacy, and communication strategies.
