Full Job Description

Job Duties:

An at-will hourly position, no more than 19.5 hours per week and no more than 175 days per fiscal year. Under the supervision of the DSPS (Disability Students Programs and Services) Service Provider , the DSPS Office Assistant supports the daily operations of the DSPS office. This role involves administrative tasks, student service support, and clerical functions that contribute to an accessible and welcoming environment for students with disabilities.

The Office Assistant may perform one or more of the following duties:

Clerical Support

Answer phones, take messages, and direct calls appropriately.
Greet students and visitors and assist with inquiries.
File, scan, and organize student records in accordance with FERPA confidentiality guidelines.
Prepare, copy, and distribute materials and forms as needed.

Student Service Support

Assist students in scheduling appointments with DSPS counselors or service providers.
Provide information on available accommodations and DSPS procedures.
Support intake and documentation processing.

Data Entry & Record Keeping

Input student data into DSPS systems accurately.
Maintain and update digital and physical records.
Help track service hours and student usage logs.

General Office Duties

Maintain office cleanliness and supplies.
Set up workstations and ensure accessibility for staff and students.
Assist with coordinating DSPS events, orientations, or workshops.

Minimum Qualifications

Strong written and verbal communication skills.
Proficient in basic computer applications (e.g., Word, Excel, email).
Successful completion of DSPS Office Assistant Orientation and Training (provided upon hire).

Able to multitask in a fast-paced environment.
Maintains confidentiality and demonstrates professionalism.
Strong interpersonal skills and commitment to inclusive service.

Preferred Qualifications

Previous administrative or front desk experience in an educational or student services setting.
Drivers License for operation of courtesy tram service

Additional Information:

Flexible schedule with shifts ranging from 4 to 8 hours.
Typical hours: Monday–Friday, day shifts only (no weekends).
Paid training and sick time included.
