Position Summary:
The Clinic Intake Specialist serves as a key member of the Counseling Center team, providing compassionate, client-centered support throughout the intake and assessment process. This position is responsible for co-managing incoming requests for counseling services, conducting initial client screenings and crisis triage, coordinating client scheduling, and supporting counselors with clinic operations.
The Clinic Intake Specialist also serves as the secondary administrator for the Electronic Health Records (EHR) system, assists with program evaluation and grant reporting, maintains community resource information, and supports clinical training and tele-mental health services. This position requires strong clinical judgment, exceptional organizational skills, and the ability to thrive in a fast-paced, high-volume behavioral health environment while maintaining the highest standards of professionalism, confidentiality, and ethical practice.
Position Details:
- Full-time, non-exempt
- Hourly Rate: $25.00–$27.00 per hour, DOE

KEY RESPONSIBILITIES
Client Intake & Clinical Support:
- Co-manage incoming requests for counseling services received by phone, website, referrals, and other sources.
- Conduct telephone, video, and in-person intake screenings and clinical triage for prospective clients.
- Provide crisis intervention, risk assessment, and consultation with counselors and clinical supervisors to support timely client care.
- Educate clients about Counseling Center services and refer individuals to appropriate community resources when needed.
- Schedule and assign new clients based on clinical need, counselor availability, and program requirements.
- Provide logistical and administrative support to Counseling Center clinicians.
- Maintain knowledge of all New Beginnings programs and services to effectively assist clients and community partners.
Clinical Operations & Electronic Health Records:
- Serve as the secondary site administrator for the Electronic Health Records (EHR) system.
- Create, update, and close client and staff records within the EHR.
- Edit electronic forms, troubleshoot system issues, and coordinate with software vendors and web developers as needed.
- Track client progress through the intake process and maintain accurate clinical documentation.
- Conduct counselor file audits to ensure documentation, compliance, and timely billing requirements are met.
- Track and process Medi-Cal (CenCal) client sessions for billing purposes.
Data Management & Program Support:
- Collect, compile, and analyze program data related to client services, grant administration, program evaluation, and accreditation.
- Track clinical outcomes and performance measures.
- Assist with clinic-related grants and reporting requirements.
- Maintain clinical records in accordance with agency policies and state and federal regulations.
- Compile and maintain an up-to-date directory of community resources for staff and client use.
Training & Administrative Support:
- Assist with scheduling, planning, and facilitating Zoom meetings for clinical trainings, in-services, and events.
- Participate in Counseling Center staff meetings, clinical meetings, and ongoing professional development.
- Support research initiatives, special projects, and other administrative duties as assigned.
- Collaborate with internal programs and external healthcare, social service, governmental, and community organizations to coordinate client care and services.
QUALIFICATIONS
Required:
- Bachelor's degree in psychology, social work, counseling, public health, human services, or a related field, or equivalent combination of education and relevant experience.
- Demonstrated ability to assess and respond appropriately to crisis situations, including suicide and homicide risk assessment.
- Knowledge of developmental issues across the lifespan.
- Experience providing culturally responsive services to diverse populations.
- Strong interpersonal, verbal, and written communication skills.
- Ability to manage multiple priorities in a fast-paced clinical environment.
- Working knowledge of ethical and legal standards related to behavioral health services.
- Experience using Electronic Health Records and other computerized databases.
- Proficiency with Microsoft Office and Google Workspace.
Preferred:
- Experience working in behavioral health, community mental health, or a nonprofit clinical setting.
- Experience with Medi-Cal (CenCal) documentation and billing.
- Familiarity with Electronic Health Records administration and troubleshooting.
- Experience supporting grant reporting, program evaluation, or clinical data collection.
- Bilingual (English/Spanish) preferred.

Additional Requirements:
