Compensation: $48,000–$58,000 per year, depending on experience, plus benefits

About the Role
We are looking for a polished, organized Client Experience Coordinator to be the welcoming face of our Santa Barbara office. Internally, we refer to this role as our “First Impressions Director” because this person sets the tone for every client interaction — and keeps the engine of our office running smoothly behind the scenes.
This is a full-time, in-office role built for someone who genuinely thrives in a professional office environment. The ideal candidate has direct experience in an office or administrative setting and takes real pride in keeping a workplace organized, efficient, and client-ready. We are also open to candidates from fast-paced service environments such as hospitality, events, or nonprofit work, provided they bring strong administrative instincts and are eager to grow in a professional office context. What You’ll Do
- Greet clients warmly and ensure every visitor has a polished, comfortable experience from the moment they arrive
- Welcome and support team members visiting from our other offices, helping them feel at home and set up at workstations
- Own the coordination of conference rooms and meeting spaces — scheduling, tech setup, refreshments, and reset after every meeting
- Answer and direct incoming phone calls professionally
- Manage incoming client mailings and deliveries with care and accuracy
- Keep the office running with precision— organized files, document prep, scanning, mail, and the operational details that keep everything running seamlessly
- Maintain a polished, organized, client-ready office environment at all times
- Assist with planning and coordinating client meetings and events
- Support a monthly local networking event at a Santa Barbara–area venue — preparing agendas, coordinating RSVPs, and helping the event run seamlessly
- Document client conversations and maintain confidential client information accurately in our CRM database
- Take on increasing responsibility over time and, for the right person, learn the fundamentals of wealth planning and financial services
What You’ll Bring
- Demonstrated experience in a professional office or administrative environment — this is the most important thing we’re looking for. Executive assistant, office coordinator, administrative assistant, legal or medical front office, or similar roles are a strong fit.
- Exceptional organizational skills with a high standard for accuracy, follow-through, and attention to detail
- Experience in a guest-facing role (hospitality, nonprofit, events) is a plus, but must be paired with strong organizational and administrative instincts
- Exceptional discretion, tact, and a demonstrated ability to maintain strict confidentiality
- A warm, professional presence and genuine pride in taking care of people
- Clear, professional written and verbal communication skills
- Initiative and reliability — you follow through on tasks promptly and notice what needs doing before being asked
- Comfort with everyday computer applications (teleconferencing, Microsoft Office, databases, spreadsheets) and an aptitude for learning new systems
- The ability to manage multiple priorities calmly in a busy office
- Punctuality and dependability
- Genuine eagerness to learn — whether that means mastering this role or growing into the financial services profession over time
- Bachelor’s degree a plus, but not required

Work Environment & Physical Demands
This position is based full-time (40 hours/week) in our Santa Barbara office during standard business hours. The office environment is professional with moderate noise levels. Occasional additional hours may be required for specific events with advance notice; travel is rarely necessary. The role is mostly sedentary but involves occasional lifting and bending (for example, restocking supplies or setting up meeting spaces). The ability to read written text, use a computer, and communicate effectively is essential.
