Pay Rate/Range: The budgeted salary range that the University reasonably expects to pay for this position is $27.06 to $31.74/hour. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $27.06 to $45.76/hour.

Brief Summary of Job Duties:
Under the supervision of the Student Affairs Manager (SAM), and as part of the Undergraduate Advising team, supports all aspects of the Artificial Intelligence (AI) undergraduate program. Serves as one of the initial sources of information and advises major students, prospective major students, and non-major students regarding general Major and department requirements. Monitors every aspect of progress towards degree and counsels students as appropriate. Initiates, maintains, and evaluates students' academic records, processes petitions, checks prerequisites, and performs other administrative tasks. Ensures grades are reported for undergraduate students and updates the General Engineering Academic Requirements (GEAR) and other publications. Requires knowledge of policy and procedures for the College of Engineering (CoE), College of Letters and Science (L&S), and the College of Creative Studies (CCS). Serves as one of the departmental liaisons with the Office of the Registrar on matters of departmental courses, grades, and undergraduate records. Works within a team environment within the Student Affairs area and department, and assists with the ongoing workload.
Required Qualifications:
Bachelor's Degree required in related area and/or equivalent experience/training
1-3 years Experience working in diverse college-level academic advising settin
Strong written, verbal, and interpersonal communication skills, including active listening and the ability to professionally interact with students, staff, and faculty
Ability to multi-task and prioritize tasks in conjunction with multiple deadlines and frequent interruptions.
Ability to work with a diverse group of students, faculty and staff and other campus offices on a variety of tasks
Strong problem-solving skills
Ability to be accurate and thorough with careful attention to details
Ability to use various programs (Excel, Word, Google) to complete required tasks
Preferred Qualifications:
Prior student advising experience
Knowledge of UCSB policies, procedures and requirements
Working knowledge of UCSB student/administrative systems and applications such as STAR, AAA, eGrades, Ad Astra, DSP Portal, etc.

65% Undergraduate Program Advising:
Advises students who seek answers to questions about the CoE policies and procedures, information about our Artificial Intelligence (AI) degree, and major requirements.
Has authority to act independently, making decisions that affect students' academic programs, such as major progress checks and registration issues.
Provides advising to new and prospective undergraduates regarding the AI major program, major degree requirements, enrollment procedures, academic policies, and university and departmental rules and regulations.
Performs degree progress checks on AI majors. Confirms prerequisites and major requirements are being met and advises students of progress and/or problems.
Creates a climate which enhances the student's academic environment, and in which academic and personal problems may be freely discussed.
Responsible for every aspect of progress towards degree, counsels students as appropriate, including advice on course requirements and petitions, and maintains records pertaining to the students' undergraduate curriculum program.
Advises continuing undergraduates on academic matters regarding program requirements and petitions. Reviews and processes student petitions before their approval and obtains the signatures of the Department Chair, Faculty Undergraduate Advisor, and/or course instructor, as appropriate. Requires knowledge of policy regulations between the CoE, L&S, and the CCS. Advises the Faculty Undergraduate Advisor on policies and department precedent. Advises students on progress and status in the major. Prepares petitions for the Faculty Undergraduate Advisor to review and sign. Makes GPA calculations for potential change of majors, forwards petitions to the appropriate College office, notifies students of their petition status, and advises students on how, when, and where they should submit their paperwork. Determines which students will be added to classes via approval code. Checks each student's prerequisites, class standing, and major status. Ensures that students' choices of electives are within the program's requirements. Advises students on departmental course requirements. Advises students on EAP Study Abroad petitions and electives, and refers to the faculty advisor for required courses.
Refers students to the Faculty Undergraduate Advisor, College of Engineering, or College of Letters and Science as appropriate.
Participates in coordination and leads orientation meetings throughout the summer for new First-year students and Transfer students.
In support of the Graduate Advisor, provides advice on all aspects of the 5-year combined BS/MS programs available in the department. Advises interested students of the 5-year program requirements. Answers questions regarding when to apply, all details of the program, GRE, GPA and application requirements.
20% Departmental Administration - In partnership with the Undergraduate Program Coordinator and Student Affairs Manager, performs the following administrative tasks:
Collects and maintains statistical information regarding freshmen, transfers, change of majors, course enrollments, and waiting lists, and advises both faculty and staff to make necessary adjustments.
Gathers articulation information for colleges not represented on Assist.org; compiles and updates the department's Equivalency Tracker for future reference.
Updates the annual copy of the CoE GEAR announcement for the department and the UCSB General Catalog.
Responsible for ensuring approval codes are received and distributed according to policy by verifying prerequisites have been met. Creates and manages course waitlists.
Serves as the departmental eGrades coordinator. Responsible for ensuring instructors have access to the online grading system (eGrades), grades are submitted on time, and the process for changing grades is followed.
Uses the Student Access and Retrieval System (STAR) system to access and/or input information regarding student, course, or instructor information. Must be cognizant of and adhere to the confidentiality of information with regard to student privacy rights and FERPA laws and policies.
Responsible for coordinating the departmental activities for the Annual Spring Open House, summer orientation tours, Discover Engineering First-year and transfer students event, speed advising and major elective advising events, recruiting events, and departmental workshops/meetings with undergraduate students.
Serves and supports the departmental Undergraduate Committees pertaining to the major. Includes, but is not limited to: schedules meetings, participates in discussion, planning, and follow-through for events that serve the undergraduate population, and prepares and disseminates meeting minutes. Ensures that the administrative work is completed for all decisions made by the committee.

Maintains departmental quarterly statistical reports.
15% Undergraduate Program Administration
Provides back-up to the Undergraduate Program Coordinator and the Student Affairs Manager for such tasks as support to the departmental Undergraduate Curriculum Committee. Includes but is not limited to: schedules meetings, collects student and enrollment data, provides necessary handouts, and prepares and disseminates minutes. Ensures that documentation is completed for decisions made by the Committee.
Provides back-up to the Undergraduate Advisor and Student Affairs Manager for such tasks as support to the departmental Undergraduate Affairs Committee. Includes, but is not limited to: schedules meetings, participates in discussion, planning, and follow-through for events that serve the undergraduate population, and prepares and disseminates meeting minutes. Ensures that the administrative work is completed for all decisions made by the Committee.
Provides back-up to Undergraduate Program Coordinator and Student Affairs Manager for such tasks as ordering textbooks and copy codes for both graduate and undergraduate courses.
Provides back-up to the Undergraduate Advisor, Undergraduate Program Coordinator, and Student Affairs Manager with matters relating to the Disabled Students Program.
Provides back-up to the Undergraduate Advisor, Undergraduate Program Coordinator, and Student Affairs Manager with generating and distributing course-related interdepartmental announcements, managing list-servs, and disbursing related communication.
Provides back-up to the Undergraduate Program Coordinator and Student Affairs Manager with IRAL quarterly reports and annual Instructor Workload report.
Responsible for preparing and updating the quarterly Schedule of Classes using Ad Astra and STAR. Analyzes enrollment projections, coordinates scheduling with other departments and implements scheduling decisions including obtaining classrooms. Works closely with the Office of the Registrar for all room scheduling.
