Full Job Description

Job Title: Office Manager

Reports to: Executive Director

FLSA Status: Full time, Non-Exempt

Schedule: Monday - Friday Hours Flexible – In Office

Compensation: Competitive / Commensurate with experience starting at $28-$30 per hour.

Holiday, vacation, and sick pay. Stipend towards health benefits.

The mission of Doctors Without Walls-Santa Barbara Street Medicine (DWW) is to provide free, volunteer medical care for the most vulnerable, underserved populations in Santa Barbara County, when and where they are in need, including in times of disaster and to provide education and training for DWW volunteers and others, in order to promote the excellent practice of humanitarian medicine in our own community.

Position Summary

The Office Manager will provide high-level administrative support to the organization facilitating the efficient operation of the organization. This role requires a proactive, organized, and detail-oriented individual who can manage multiple tasks and prioritize effectively. The Office Manager will handle a variety of responsibilities, including scheduling, communication, and document management, ensuring that the Executive Director and Program Leadership can focus on strategic and mission-critical activities.

Key Responsibilities:

Oversee daily office operations, including ordering supplies, managing mail, and maintaining an organized workspace
Serve as a welcoming point of contact for community members, clients, volunteers, and donors
Support program staff with scheduling, logistics, and documentation needs
Maintain physical and digital filing systems and ensure compliance with data retention policies
Assist with bookkeeping and budgeting tasks, including tracking donations and expenses
Support human resources functions such as onboarding, maintaining employee records, and tracking leave
Coordinate onboarding and support for volunteers and coordinators
Provide administrative support for grant reporting and donor communications
Organize logistics for community events, workshops, and outreach activities
Manage relationships with vendors, contractors, and community partners
Maintain compliance with local regulations, insurance requirements, and internal policies
Other duties as assigned to strengthen office and program effectiveness
Schedule meetings, take minutes, and coordinate logistics for staff, board, and committee meetings
Assist with event planning and logistical support for fundraising or program events
Manage scheduling meetings with key stakeholders, donors, community leaders, and staff.

Skills & Abilities:

At least 3–5 years of experience in office administration, preferably in a community based or non-profit setting
Strong interpersonal skills and a welcoming, community-oriented mindset
Excellent organization and time management skills
Proficiency in office software (e.g., Microsoft Office, Google Workspace) and basic accounting tools
Deep commitment to equity, inclusion, and the mission of Doctors Without Walls
Proven experience in office administration or a similar role
Excellent written and verbal communication
Ability to work independently and as part of a team
Ability to maintain confidentiality and handle sensitive information with discretion.
A proactive and flexible approach to work, with the ability to adapt to changing priorities.
