Job Purpose:
The Engagement Assistant supports the Hoover Institution Library & Archives' public engagement activities, including exhibition operations, visitor services, educational programming, and administrative support. Working with the Engagement team, this position helps ensure exhibitions and public programs run smoothly while providing an outstanding experience for visitors to Hoover Tower.
The ideal candidate is organized, dependable, and enjoys working with people. This position includes a mix of visitor services, exhibition support, event assistance, and administrative work, so we're looking for someone who is comfortable managing a variety of responsibilities and willing to jump in where needed. An interest in museums, libraries, archives, and public history is strongly encouraged.
This position requires availability for approximately 18–20 hours per week between 8:30 a.m. and 4:30 p.m., Monday through Friday. Additional hours may occasionally be available to support special events or staffing needs.
Core Duties:
Gallery Attendant Duties:
- Welcome visitors, answer questions, and create a friendly, engaging gallery experience.
- Lead informative and engaging exhibition tours for a variety of audiences.
- Monitor gallery spaces to help ensure the safety of visitors, collections, and exhibitions.
Exhibition Planning and Assistance:
- Assist with the preparation, installation, maintenance, and deinstallation of exhibitions.
- Handle exhibition materials with care, including paging materials and organizing exhibition resources.
- Prepare exhibition materials such as facsimiles, graphics, labels, and other assets in support of projects.
Administrative Support:
- Help with general administrative tasks, including record-keeping, scheduling, and inventory management.
- Support Reading Room operations.
- Other duties as assigned.
Events Support:
- Assist in the planning and execution of educational programs, classes, workshops, and events.
- Participate in guided tours, lectures, and workshops.
Digital Content Creation:
- Assist with creating content for social media content to promote exhibitions, events, and collections.
- Monitor social media channels, engage with the online community, and provide insights to enhance online presence.
Required Qualifications & Physical Requirements:
- Demonstrated interest in museums, archives, libraries, public history, or visitor engagement.
- Excellent public speaking skills and the ability to engage with diverse audiences.
- Excellent customer service and interpersonal communication skills.
- Strong written communication skills.
- Proficiency in using social media platforms for promotional purposes.
- Ability to work collaboratively and independently.
- Highly organized and detail-oriented with an aptitude for multitasking.
- Demonstrated ability to learn new technologies.
- Punctual and effective at meeting deadlines.
- Ability to act with initiative, good judgment, and problem-solving skills.
- Frequently stand and walk for extended periods.
- Frequently twist/bend/stoop/squat, grasp lightly/fine manipulation, grasp forcefully, and sort/file paperwork or parts, reach/work above shoulders, and lift/carry/push/pull objects that weigh up to 10 pounds.
- Ability to lift 40-pound boxes and to push and maneuver fully loaded book trucks (push force up to 50 pounds).
Preferred Qualifications:
- Experience working in a library, archives, museum, or other public-facing cultural institution. Graduate students or recent graduates in archival studies, library science, museum studies, history, or a related field are encouraged to apply.
- Interest in 20th– and 21st–century history, current events, and public engagement.
- Reading knowledge of a foreign language is a plus, particularly German, Russian, Polish, Chinese, French, Spanish, Japanese, or Arabic.
The expected pay range for this position is $25.00 to $37.00 per hour, dependent on experience. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
