Position Overview
A growing environmental services company in the Los Angeles area is seeking a highly organized, proactive Director of Operations who will serve as the operational leader of the company's office and administrative functions while working closely with the Field Manager, who oversees field execution. The Director will be responsible for ensuring that the office and field sides of the business operate as one coordinated system.
This is not a traditional office management position. We are looking for someone who thinks like an owner, makes sound decisions, takes initiative without being asked, and is motivated by building a better business every day. Office & Operations Leadership
· Oversee day-to-day office operations to ensure efficiency, accuracy, and professionalism.
· Serve as the primary coordination point between the Owner, Field Manager, office staff, and field technicians.
· Oversee and optimize scheduling systems for inspections, jobs, meetings, and internal priorities.
· Professionally manage multiple requests from different stakeholders while maintaining focus and order.
· Anticipate operational needs and independently resolve routine issues before they escalate.
Operational Execution & Coverage
· Ensure all core office and administrative functions are completed accurately and on time, including inbound call handling, lead intake and conversion, proposal coordination, client follow-up, payment processing, review requests, laboratory sample coordination, CRM data integrity, scheduling support, and related administrative functions.
· These responsibilities may be performed directly or delegated to administrative staff, but the Director of Operations remains accountable for ensuring they are completed.
Systems & Process Development
· Evaluate existing workflows and identify inefficiencies.
· Develop, improve, document, and implement operational systems.
· Ensure consistent adoption of company systems.
Staff Management & Training
· Train, manage, and coach administrative staff.
· Set expectations, delegate effectively, and hold team members accountable.
Administrative & Personnel Oversight
· Oversee office-level timekeeping processes and compliance with company policies and administrative procedures.
· Maintain and improve office procedures, internal documentation, and administrative guidelines.
· Assist with hiring, onboarding, training, performance evaluations, and personnel matters involving administrative staff.
Field Team Coordination
· Work closely with the Field Manager to support job execution and scheduling.
· Balance multiple personalities professionally while maintaining accountability.
· Remove administrative friction so field teams can remain focused on high-quality work.
Business Growth & Continuous Improvement
· Develop new business opportunities and referral relationships.
· Proactively identify and pursue potential referral partners through outreach, networking, and relationship-building.
· Build and maintain relationships with insurance agents, property managers, realtors, plumbers, inspectors, and other potential referral partners.
· Conduct outreach visits, meetings, presentations, and follow-ups with prospective and existing referral partners.
· Participate in networking events and industry groups when appropriate to promote the company and generate referrals.
· Track business-development activities, leads, referral sources, and follow-ups to ensure opportunities are consistently pursued.
· Work with the internal team to help convert opportunities into projects and maintain strong relationships with referral partners.
· Contribute ideas that help the company grow, increase revenue, improve the customer experience, or strengthen the company's market position.
· Identify operational bottlenecks and remove them.
· Recommend new systems, technology, and processes.
· Continuously look for opportunities to improve efficiency and profitability.
Data Analysis & Business Intelligence
· Analyze operational, financial, marketing, and sales data to identify trends and opportunities.
· Evaluate ROI of marketing initiatives, referral relationships, staffing, software, and operational decisions.
· Prepare reports and recommendations that support better business decisions.
· Track KPIs and use data to prioritize initiatives with the greatest impact.
· Present findings with actionable recommendations—not just numbers.
· Be highly proficient with Excel/Google Sheets and comfortable learning new software and AI tools.
Decision-Making & Accountability
· Make decisions based on the long-term success of the business.

Schedule & Availability
· Monday–Friday primary schedule.
· Daily operational review and next-day readiness.
· Availability for urgent matters outside normal hours when needed.
· Occasional brief Sunday and after-hours operational check-ins may be required to ensure readiness for the following business day.
Qualifications & Experience
· Bachelor's degree is required.
· Experience leading operations, office management, or business administration.
· Strong analytical, organizational, and problem-solving skills.
· Advanced Excel/Google Sheets proficiency.
· Comfortable with CRM systems, cloud software, and AI tools.
· Ability to work independently with minimal supervision.

Compensation & Benefits
· Annual salary: $70,500
· Full-time, exempt position.
· 7 paid vacation days
· 12 paid company holidays annually, including 6 Jewish holidays and 6 major U.S. holidays.

· Performance bonuses/commissions may be available based on business contribution and growth.
