Full Job Description

POSITION DESCRIPTION

Position is responsible for the maintenance of a variety files which includes sorting, classifying, indexing, cross-referencing documents for filing and searching/retrieving files or contents as necessary. Ensures documents are accurately filed within appropriate time limits, schedules appointments, processes related paperwork and distributes appropriate lists required in specific units in a timely fashion. Complies, computes, tabulates, and verifies data; prepares routine reports, assists in preparing special reports, ensuring accuracy and completeness. Verifies information on computer printouts; and resolves discrepancies. Position also requires the daily processing of mail; coordination of mass mailings, maintenance and updates of manuals to ensure they are current at all times.

QUALIFICATIONS

To perform effectively in this position, the incumbent must be able to interface well with all staff members and represent the Center in a highly professional manner. Must be able to deal tactfully and effectively, as well as establish and maintain effective working relationships with co-workers and the general public.

Incumbent will be able to type at a corrected rate of 50 WPM and posses strong computer skills. Will be able to demonstrate proficiency in both oral and written communication and have increasing knowledge of modern office practices, standards and business etiquette. Will prepare reports, correspondence, compose letters neatly and professionally, and maintain control of records and files. In addition, will also obtain accurate information by searching files and contacting various persons and agencies, record pertinent data systematically, compile, compute, analyze and interpret data.

EDUCATION & EXPERIENCE

High school graduate or GED equivalent and one year of office clerical or secretarial experience.

Experience with word processing and computers is required.

Bilingual; Spanish/English required.
