Full Job Description

Job Summary

The Personal & Events Assistant provides administrative, personal, and event coordination support to the CEO and President under the direction of the Executive Assistant. This position is responsible for assisting with executive support functions, coordinating internal company events, employee engagement initiatives, and community service activities, while helping manage a variety of personal tasks that allow the CEO and President to remain focused on strategic priorities.

This role requires exceptional organization, professionalism, discretion, and a strong service mindset. The ideal candidate is dependable, detail-oriented, resourceful, and enjoys creating positive experiences for both leadership and employees.

Duties

Executive & Personal Support

Provide day-to-day administrative and personal support for the CEO/President under the direction of the Executive Assistant.
Assist with personal errands, appointments, shopping, returns, deliveries, and other tasks as assigned.
Coordinate household appointments, vendors, contractors, and service providers.
Assist with home organization, filing, bill payment, and other administrative tasks.
Support the CEO/President during designated home office days by managing assigned projects and priorities.
Maintain organized records, receipts, and documentation related to assigned responsibilities.
Exercise sound judgment and maintain the highest level of confidentiality when handling sensitive information.

Events & Employee Engagement

Coordinate company luncheons, employee events, celebrations, meetings, and special events.
Assist with planning and executing company-wide gatherings from initial planning through event completion.
Coordinate catering, event supplies, decorations, vendor communications, setup, and cleanup.
Manage event timelines, RSVP tracking, purchasing, and logistical details.
Research venues, vendors, and event options as requested.
Help create positive employee experiences through organized and well-executed company events.

Community Service Initiatives

Coordinate company volunteer opportunities and community outreach events.
Support employee participation and communications related to volunteer opportunities.

Administrative Support

Provide administrative support to the Executive Assistant as requested.
Maintain project trackers, task lists, calendars, and follow-up items.
Assist with purchasing office and event supplies.
Prepare documents, spreadsheets, correspondence, and reports as assigned.
Run local business errands as needed.
Communicate project status and potential issues proactively to the Executive Assistant.
Perform additional duties and special projects as assigned.

Qualifications

Education & Experience

High school diploma or equivalent required.

Knowledge, Skills & Abilities

Excellent organizational and time management skills.
Strong attention to detail and follow-through.
Ability to prioritize multiple tasks while meeting deadlines.
Excellent verbal and written communication skills.
Professional demeanor with strong interpersonal skills.
Ability to maintain confidentiality and exercise sound judgment.
Self-motivated with the ability to work independently while receiving direction.
Positive, flexible, and service-oriented attitude.

· Experience or comfort assisting with food preparation, kitchen organization, meal service, and event food setup is preferred.

Strong problem-solving skills and resourcefulness.
Proficient in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
1-2 years of experience in an administrative support, office assistant, customer service, hospitality, event coordination, or similar role preferred.
