Full Job Description

Summary:

The Front Desk Receptionist is the first point of contact for patients and plays a critical role in shaping the overall patient experience. This position is responsible for providing exceptional customer service and respectful communications, complete patient scheduling efficiently, accurately processing patient payments, maintaining absolute patient and health confidentiality and supporting the smooth daily operations of the practice while maintaining confidentiality and professionalism at all times.

Lead tracking/life cycle, potential patient follow up.

Essential Duties and Responsibilities include, but are not limited to:

Patient Experience & Customer Service

· Greet patients warmly and professionally in person and by phone

· Create a welcoming, calm, and polished front office environment

· Manage patient check-in and check-out processes efficiently

· Address patient questions, concerns, and requests with empathy and discretion

· Uphold the practice’s brand standards and service expectations

· Patient follow up

Scheduling & Administrative Duties

· Schedule, confirm, and manage appointments for all providers and services

· Coordinate provider schedules to optimize patient flow and clinic efficiency

· Process intake forms, consents, and required documentation

· Maintain accurate patient records in the EMR or scheduling system

· Handle phone calls, voicemails, texts, and emails promptly and professionally

· Lead tracking/life cycle

Financial & Transactional Responsibilities

· Collect payments, process transactions, and issue receipts

· Explain service pricing, packages, memberships, and basic policies

· Support retail sales and promotions ethically and accurately

· Balance daily transactions and follow cash-handling protocols

Compliance & Confidentiality

· Maintain strict adherence to HIPAA and patient privacy regulations

· Follow all front office policies, procedures, and HR protocols

· Communicate accurately and professionally with clinical staff regarding patient needs

Team Collaboration & Operations

· Work closely with providers, medical assistants, estheticians, and management

· Support clinic flow by keeping providers informed of patient status

· Assist with office organization, cleanliness, and presentation

· Participate in team meetings, training, and ongoing education

· Escalate issues or concerns to management as appropriate

OTHER DUTIES AS ASSIGNED.

Supervisory: This position does not oversee staff.

Qualifications:

Education/Experience

· Experience working in a medical office or spa preferred in a client-facing customer service role

· High School diploma or GED required

Required Knowledge/Skills/Abilities

· Knowledge and proficiency with EMR electronic medical records systems

· Knowledge and proficiency with scheduling software

· Knowledge and proficiency processing patient payments

· Ability to multitask and remain focused in a sometimes fast-paced environment

· Dependable attendance and proactive communications if full day or partial day absences.

· Professional and positive communication skills, with patients and colleagues

· Strong organizational skills with high attention to detail

· Ability to maintain a high level of discretion and maintain confidential health details of clients

The work is typically performed in a temperature-controlled office environment in a health care setting. Quiet to moderate noise level with background music playing constantly for patient experience.

· Prolonged periods of sitting and answering calls, using computer and interacting with clients, vendors, and coworkers and management.

· Ability to perform repetitive movements over long periods.

· Ability to get up and down frequently from sitting to standing to walking.

Pay: $25.00 - $30.00 per hour
