As a Legal Secretary, you will play a critical role in supporting attorneys who handle some of the firm's most significant and complex litigation matters. Your ability to anticipate deadlines, manage intricate litigation calendars, and keep cases moving forward will directly contribute to our attorneys' success and, ultimately, to the outcomes we achieve for our clients.

Purpose and Impact of Your Role

The Legal Secretary is the organizational backbone of the litigation team. This role provides comprehensive administrative and litigation support while managing complex legal calendars, court deadlines, scheduling, and case logistics.

Success in this position requires exceptional attention to detail, a thorough understanding of state and federal court rules, and the ability to prioritize competing deadlines in a fast-paced litigation environment. The ideal candidate thrives on organization, proactively identifies upcoming deadlines, and ensures attorneys remain ahead of every critical date.

What Outcomes Will You Achieve

Maintain accurate and comprehensive litigation calendars across multiple attorneys and jurisdictions.
Calculate and calendar court deadlines in accordance with California State, Federal, Appellate, and local court rules.
Ensure attorneys are consistently prepared for hearings, depositions, mediations, trials, expert deadlines, and client meetings.
Coordinate complex scheduling among courts, opposing counsel, clients, experts, vendors, and internal team members.
Prepare, proofread, revise, and finalize legal correspondence, pleadings, discovery, and other litigation documents.
File legal documents electronically in state and federal courts while ensuring compliance with applicable filing procedures.
Monitor court dockets and proactively identify newly issued orders, deadlines, and scheduling changes.
Organize case files and maintain accurate litigation records using the firm's case management system.
Serve as a dependable resource for the litigation team by anticipating administrative needs before they arise.
Help create an organized, efficient litigation practice that allows attorneys to focus on achieving outstanding results for clients.

What You Will Bring to the Table

3+ years of litigation legal secretary experience preferred.
Extensive experience maintaining complex litigation calendars for multiple attorneys simultaneously.
Advanced knowledge of California State Court, Federal Court, and local court calendaring rules.
Demonstrated experience calculating litigation deadlines independently.
Strong proficiency with electronic court filing (State and Federal).
Experience supporting attorneys through all phases of litigation, from case inception through trial.
Exceptional organizational skills with the ability to prioritize multiple urgent deadlines.
Excellent proofreading, grammar, formatting, and written communication skills.
Strong proficiency in Microsoft Office Suite, Adobe Acrobat, Outlook, and legal case management software (Filevine experience is a plus).
Ability to maintain strict confidentiality while exercising sound judgment and professionalism.
Positive attitude, strong sense of ownership, and commitment to providing exceptional support to the legal team.
