We are seeking an experienced and motivated Office Manager to join our team at our prestigious aesthetic practice. The ideal candidate will possess strong interpersonal and organizational skills, with a passion for managing operations in a high-end, customer-focused environment. As a member of the KAI team, going above and beyond for our patients is a crucial element in making them feel at home, whether they are planning their next visit or spending time with us in the office. In this role we expect you to be friendly, efficient, detail oriented, proactive and team focused.

ESSENTIAL RESPONSIBILITIES

Finance Management

Oversee the collection of daily deposits (credit card, cash, and checks) and day sheet balancing. Review and audit redemption of points from partnered patient reward programs such as Aspire and Alle.
Generate monthly practice metrics in conjunction with Bookkeeper and assist with analysis of practice growth and revenue trends.
Securely executes physical transfer of cash and/or checks for deposits from office to bank.

Human Resource Management

Oversee recruitment, hiring, and onboarding and offboarding of staff.
Post job openings and screen all incoming candidates.
Schedule phone and conduct in-person first interviews. Job Descriptions should be provided to the applicant prior to interviews.
Prepare and email employment offers to include details of pay, benefits, job description and a summary of next steps.
Electronically hire new employees and manage onboarding process. This includes conducting background checks (to be signed off by CPD), arranging for compliance training, processing benefit applications, establishing allotment records, ordering uniforms, updating the staff roster, scheduling and conducting an introductory and annual evaluation (on CPD calendar), securing parking, establishing all system logins, and issuing an office key.
As required, manage termination details including final paperwork, final pay and all other related items. Review paperwork with CPD prior to conducting termination meeting.
Maintain employee records and manage benefits administration.
Maintain employee roster.
Review all treatment requests and approve or deny them in accordance with company guidelines. Maintain employee quarterly aesthetic allotments with a detailed record (date and value) of each treatment under employee’s personal log.
Once an employee has been onboarded, CPD to review onboarding checklist and signs off on the employee’s file.
Continual maintenance of employee files making sure Practice follows applicable state and federal regulations along with practice standards.
Monitor and evaluate employee performance, continually providing feedback and learning opportunities. Facilitate training and development programs to promote a skilled and motivated team.
Conduct employee consultations as needed and prepare the required documentation post meeting. CPD to review and sign off on all documentation.
As required, in preparation of 360 employee reviews, issue necessary forms to managers/peers for completion. Confirm with CPD as to which individuals will participate in the employee evaluation. Once all completed forms are gathered, discuss details with CPD and afterwards prepare the written evaluation and conduct performance reviews.
Foster a positive work culture through effective communication and conflict resolution.
Schedule, prepare for and participate in all team meetings ensuring meetings are efficient, productive and consistently held.
Other tasks related to HR as directed.

Inventory Management

Manage inventory of aesthetic and administrative supplies, ensuring adequate stock levels.
Coordinate with vendors for timely procurement of products.
Implement inventory control processes to minimize waste and reduce costs.

Special Events, Meetings, Projects and Lunch and Learns

Point of contact for all vendors, scheduling meetings, lunch and learns etc.
Coordinate special events, including training events, making sure the team is informed and the flow is seamless.

Other Expectations

Meet with Chief Practice Director once per week.
Oversee appointment scheduling and enhance patient experience.
Develop and implement standard operating procedures for operational excellence.
Maintain clinical practice protocols, reviewing annually.
Conduct patient financial audits as necessary.
Point of contact for all guests with issues, focusing on de-escalation and resolution.
Provide administrative support for any practice clinical research trials, ensuring accuracy and compliance with Sponsors, Sponsor staff and Clinical Department staff.
Prepare quarterly staff meeting agendas by acquiring agenda items from each department. Record meeting minutes for quarterly staff meetings.\
Cover other positions as necessary (i.e., front desk).

Qualifications

Bachelor’s degree in business administration, Healthcare Management, or related field preferred.
Proven experience as an office manager or in a similar role within healthcare or aesthetic practice.
Strong knowledge of human resource management and inventory control.
Excellent organizational and leadership skills.
Exceptional communication and interpersonal abilities.
Proficient in office management software and tools.

Required Experience: 3+ years of Office management experience required. If performance indicators are met after 3 months, potential raise to $95k annually.

Pay: $90,000.00 per year
