Our services include comprehensive eye care, specialty contact lenses, dry eye treatment, neurovisual medicine, pediatric eye care, myopia management, premium eyewear, and advanced diagnostic testing. As we continue to grow in our beautiful flagship location, we are seeking an exceptional Practice Manager to help lead our team, strengthen our culture, improve operational excellence, and drive continued business growth.

Position Summary

This is not a traditional office manager position.

We are seeking an operational leader who will help guide a growing multi million dollar private practice through its next phase of growth while fostering a culture of excellence, accountability, innovation, and exceptional patient care.

The Practice Manager serves as the operational leader of the practice and works closely with the doctors to achieve clinical excellence, financial success, and an outstanding patient experience. This individual is responsible for leading and developing the team, improving systems and workflows, monitoring key performance indicators, driving practice growth, increasing profitability, and ensuring efficient daily operations.

The Practice Manager is expected to think strategically while remaining actively involved in day to day operations. Success in this role requires balancing leadership, financial performance, operational efficiency, employee development, and an unwavering commitment to delivering an exceptional patient experience.

This position reports directly to the Practice Owner and plays a key leadership role in shaping the future direction of the organization.

ResponsibilitiesLeadership

Lead, coach, mentor, and develop a high performing team.
Foster a culture of accountability, professionalism, teamwork, continuous improvement, and exceptional service.
Recruit, interview, hire, onboard, train, and retain outstanding employees.
Conduct regular performance evaluations, coaching sessions, and employee development meetings.
Address employee concerns and resolve conflicts professionally.
Conduct regular staff meetings and leadership meetings.
Serve as a positive role model and leader for the entire organization.

Practice Operations

Oversee all aspects of daily practice operations.
Ensure efficient patient flow while maintaining an exceptional patient experience.
Optimize provider schedules, staffing, and workflow.
Develop, implement, and continuously improve Standard Operating Procedures.
Coordinate communication between doctors, technicians, opticians, virtual assistants, and administrative staff.
Monitor appointment utilization, cancellations, scheduling efficiency, and operational productivity.
Ensure the practice consistently delivers an exceptional patient experience.

Financial Management

Monitor practice profitability and financial performance.
Assist in budgeting, forecasting, and financial reporting.
Monitor expenses and identify opportunities for improved efficiency.
Oversee insurance billing, claims correction, EOB reconciliation, accounts receivable, collections, and revenue cycle performance.
Monitor inventory purchasing and vendor relationships.
Identify opportunities to improve profitability while maintaining excellent patient care.

Business Development

Monitor and improve key performance indicators (KPIs).
Develop initiatives that improve patient retention and new patient growth.
Increase optical sales, premium lens utilization, contact lens sales, and specialty medical services.
Support marketing initiatives, community outreach, online reputation management, and patient satisfaction.
Analyze practice performance and recommend operational improvements.
Collaborate with ownership on strategic planning and long term business growth.

Human Resources

Maintain an engaged, positive, and productive workplace culture.
Ensure employees receive appropriate training and ongoing education.
Assist with policy development and employee accountability.
Manage staff scheduling, time off requests, and staffing coverage.
Promote employee recognition, teamwork, and professional growth.

Compliance

Ensure compliance with HIPAA and all applicable federal and California regulations.
Protect confidential patient information and company intellectual property.
Safeguard company assets, equipment, inventory, software, and business systems.
Maintain accurate documentation, policies, and procedures.

Qualifications

Minimum five years of leadership or management experience in healthcare, optometry, ophthalmology, dentistry, or another medical practice.
Demonstrated success leading teams and improving organizational performance.
Strong business, financial, and operational acumen.
Experience monitoring KPIs and using data to improve performance.
Excellent communication, leadership, and interpersonal skills.
Strong organizational and project management abilities.
Excellent analytical and problem solving skills.
Ability to coach, motivate, and hold employees accountable.
Professional, dependable, ethical, and highly organized.
Ability to manage multiple priorities in a fast paced environment.
Bachelor's degree preferred but equivalent leadership experience will be considered.
