We are a rapidly growing, physician-owned dermatology practice in Napa Valley providing medical, surgical, aesthetic dermatology and wound care.
We are seeking an Office & Operations Manager to help optimize practice revenue while bringing structure, coordination, and consistency to the practice’s systems, schedules, team, and daily operations. You will work closely with the physician-owner and broader team to strengthen workflows, support thoughtful decision-making, develop staff, and help the practice remain organized, functional, and profitable.

Responsibilities
Operations and Scheduling
- Oversee daily clinical and administrative operations
- Build, document, and improve SOPs and workflows
- Coordinate the physician schedule, including templates, patient access, waitlists, cancellations, and schedule optimization
- Improve efficiency, patient flow, team productivity, and follow-through
- Identify areas of opportunity and turn them into practical improvements
- Provide operational support wherever needed to keep the practice running smoothly
Financial and Business Operations
- Analyze and optimize practice revenue, expenses, scheduling productivity, product sales, and operational performance
- Work with the practice’s outside billing company to support effective communication, follow-through, and overall financial performance
- Recommend practical improvements to scheduling, pricing, inventory, purchasing, and capacity
- Support bookkeeping, accounts payable, expense tracking, and financial organization
- Oversee medical supplies, retail-product inventory, purchasing, and vendor relationships
- Support product sales, inventory controls, and revenue tracking
People, Payroll, and HR
- Run payroll accurately and on time, including timekeeping, PTO tracking, and employee scheduling
- Recruit, onboard, train, develop, and manage the support team
- Establish clear roles, expectations, workflows, and performance standards
- Promote accountability, personal responsibility, and reliable follow-through
- Communicate directly, clearly, and respectfully
- Conduct constructive performance conversations focused on growth
- Maintain HR documentation, employment records, and California employment compliance
Compliance and Administration
- Maintain business licenses, registrations, insurance policies, workers’ compensation, and required employment postings
- Maintain HIPAA and OSHA compliance, training records, and personnel files
- Coordinate insurance credentialing, payer enrollment, and contracting follow-up
- Track provider licensure, certifications, insurance coverage, and renewal deadlines
Required Qualifications
- At least three years of medical office or physician-practice management experience
- Experience with healthcare operations, insurance workflows, credentialing, payroll, and employee management
- Strong scheduling, project-management, and prioritization skills
- Financial literacy and the ability to analyze and optimize practice revenue and operational performance
- Experience with medical supplies, purchasing, or inventory
- Strong written and verbal communication skills
- Ability to work independently, exercise sound judgment, and follow responsibilities through to completion
- High standards for discretion, professionalism, and patient confidentiality
Preferred Qualifications
- Dermatology, cosmetic, plastic-surgery, or aesthetic-practice experience
- Experience in an independent or growing medical practice
- Experience supporting a physician-owner
- Retail-product, vendor-negotiation, bookkeeping, or financial-management experience
- Bilingual English and Spanish

Pay: $85,000.00 - $105,000.00 per year
