POSITION TITLE: Recruiting Coordinator- Full-time (Onsite) Confidential Position
REPORTS TO (TITLE): Clinician Recruiter
HOURLY RANGE: $25.00- $31.00/Hourly
Job Summary: Full-time Recruiting Coordinator provides administrative, coordination, and process-maintenance support to the Clinician Recruiter. This role supports efficient and consistent recruitment operations by coordinating interview logistics, maintaining accurate recruitment data, supporting job postings and outreach, and ensuring timely communication and follow-up. This role does not screen candidates, make hiring decisions, negotiate offers, independently source clinicians, or interpret employment law or collective bargaining agreements. All recruitment judgment and decision-making authority remains with the Clinician Recruiter and HR leadership.
Duties and Responsibilities:

Coordinates hiring manager availability and provides scheduling options to the Clinician Recruiter following recruiter screening.

Coordinates interview logistics, including calendars, virtual meeting links, in-person interview rooms, and confirmation details, as directed by the Clinician Recruiter.

Prepare interview packets, agendas, and candidate confirmations.

Supports interview-day logistics to ensure professional and organized candidate experience.

Enters and maintains accurate candidate data and requisition statuses in the applicant tracking system and related tracking tools.

Tracks requisition aging and prepare routine summaries or reports as requested.

Tracks employee referral submissions and status throughout the recruitment process.

Submits sign on bonus offers as directed in HRIS system.

Posts approved requisitions following recruiter review and pre-approval of position descriptions.

Monitors job posting expiration dates and coordinates renewals with the Clinician Recruiter.

Coordinates approved social media job postings with the Marketing department.

Maintains organized records of active and closed job postings.

Coordinates candidate travel arrangements and reimbursements after pre-approval by the Clinician Recruiter.

Supports logistics for conferences, career fairs, and recruitment events.

Uploads attendee and lead information following events and coordinates follow-up activities as directed.

Maintains and updates recruitment email templates, toolkits, guides, and standardized resources.

Organizes and maintains shared recruitment folders, files, and documentation.

Supports continuous improvement of recruitment processes through accurate documentation and consistency.

Maintains confidentiality of applicant, employee, and organizational information at all times.

Works collaboratively with the Clinician Recruiter, HR team, hiring managers, Marketing, and other partners.

Communicate professionally and respectfully with candidates to support a positive candidate experience.

Performs other related duties as assigned in support of recruitment operations and HR objectives.
MINIMUM QUALIFICATIONS:

Education: High school diploma or equivalent required.

Previous experience supporting HR, recruiting, or administrative functions preferred.

Working Conditions & Physical Requirements:
Office-based work with routine use of standard office equipment and computer systems. Ability to sit or stand for extended periods and coordinate multiple tasks simultaneously. May require occasional travel to recruitment events or conferences.
