Job Overview
We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our organization. This vital role involves managing front desk operations, providing exceptional customer service, and ensuring smooth administrative workflows. The ideal candidate will be energetic, organized, and possess excellent communication skills to create a positive first impression for visitors and callers alike. Responsibilities

Greet visitors warmly and direct them appropriately, ensuring a positive experience from the moment they arrive
Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using professional phone etiquette
Maintain organized filing systems, data entry records, and manage correspondence to support office operations
Work with billing team to ensure revenue is accounted for and collected per patient coding process
Schedule appointments, manage calendars, and coordinate meetings using tools like Google Workspace and Microsoft Office
Handle incoming and outgoing mail, courier services, and maintain supplies inventory to keep the front desk fully operational
Assist with clerical tasks such as proofreading documents, updating records in QuickBooks or other bookkeeping software, and performing basic bookkeeping duties
Support office management activities by organizing files, managing office supplies, and ensuring a tidy work environment

Skills

Proven experience in office administration or reception roles with strong clerical skills
Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry software
Strong organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional customer service skills with professional phone etiquette and bilingual capabilities preferred
Familiarity with front desk operations, multi-line phone systems, filing systems, and office management procedures
Ability to handle sensitive information discreetly with high attention to detail for proofreading and data accuracy
Personal assistant or medical/dental receptionist experience is a plus for understanding specialized workflows such as calendar management or patient interactions
