Full Job Description

Position Summary

The Disaster Relief Coordinator is a temporary, grant-funded position responsible for supporting the Early Learning Coalition of Sarasota County (ELC) in the administration, coordination, documentation, and release of disaster relief funding in Sarasota County. Working under the direction of the Chief Program & Policy Officer, this position helps ensure that disaster relief funds provided through the Florida Division of Early Learning (DEL) are distributed accurately, efficiently, equitably, and in alignment with all applicable program, fiscal, reporting, and compliance requirements. The position is temporary and contingent upon the continued availability of funding from DEL or other designated disaster relief sources.

Primary Responsibilities

Program Administration & Coordination

· Coordinate the end-to-end process for releasing DEL disaster relief funds to early learning providers in Sarasota County, ensuring distribution is accurate, efficient, and equitable.

· Serve as the primary point of contact for childcare providers and early learning programs, answering questions about funding availability, eligibility, and the application process.

· Collaborate with the Chief Program & Policy Officer and other ELC departments to align relief distribution with overarching organizational goals and community needs.

Compliance & Quality Assurance

· Review all funding applications and disbursements to guarantee strict adherence to Florida Division of Early Learning (DEL) program, fiscal, and reporting requirements.

· Assess and verify provider applications and supporting documentation to determine eligibility for disaster relief grants before funds are released.

· Maintain a rigorous, standardized review process to prevent fraud, waste, or errors in the distribution of grant funds.

Documentation & Reporting

· Maintain comprehensive, highly organized, and accurate records of all applications, approvals, denials, and financial disbursements.

· Generate regular status reports on fund utilization, application volume, and distribution timelines for the Chief Program & Policy Officer and Senior Leadership.

· Document the full lifecycle of the grant funding from initial receipt from DEL to final distribution, ensuring all temporary funding sources are properly tracked until exhaustion.

Qualifications

Education: High School diploma required. Bachelor's degree preferred.

Experience: Minimum one-three years in nonprofit, or in administrative work.

Skills:

· A high level of integrity and ability to navigate complex interpersonal dynamics with empathy.

· Strong organizational and project management skills, with exceptional attention to detail.

· Excellent interpersonal and communication skills, both written and verbal.

· Reliable, punctual, ability to manage multiple priorities and meet deadlines.

· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and data systems.

Other Requirements: Valid Florida driver’s license, reliable transportation, and ability to pass a Level II background screening.

Work Environment

Work location varies based on the needs of the organization and may include a combination of office, community, and hybrid settings.
Occasional travel within Sarasota County for community events, meetings, trainings, or evening/weekend activities.
Ability to sit or stand for extended periods and lift up to 25 pounds for event materials.
Must have reliable transportation and a valid Florida Driver’s License.

Pay: $36.00 - $75.00 per hour
