Portfolio Manager — Community Association & Resort Operations

Location: Siesta Key, Florida (with regular travel between assigned communities and properties)

About Us

We serve the Siesta Key community from two complementary angles: professional condominium and homeowners association management, and premier vacation rental and resort property management. We combine the operational discipline of association management with the guest-focused hospitality of vacation rentals — all built on transparency, accuracy, partnership, and responsiveness.

Position Summary

This dual-scope role oversees both a portfolio of condominium/HOA communities and the day-to-day operations of resort/vacation rental properties. The ideal candidate is equally comfortable in a Board meeting discussing reserve budgets and on-property resolving a guest concern. You'll serve as the primary liaison between Boards of Directors, homeowners, guests, vendors, and internal staff — ensuring every community and property is managed professionally, safely, and in full compliance with governing documents, Florida Statutes, and company policy.

Minimum Qualifications

Active Florida Community Association Manager (LCAM) License in good standing with the DBPR (required)
Minimum 3–5 years of experience managing condominium/HOA communities in Florida preferred
Experience in resort, hotel, or vacation rental management (5+ years preferred)
Strong working knowledge of Florida Statutes Chapters 718 (Condominiums) and 720 (Homeowners Associations)
Bachelor's degree in Hospitality Management, Business Administration, or related field preferred
Valid Florida driver's license and reliable transportation
Proficient with Microsoft Office (Word, Excel, Outlook); experience with Buildium and vacation rental property management software (e.g., Streamline) strongly preferred
Excellent written and verbal communication skills
Ability to manage multiple communities, properties, and competing priorities simultaneously

Key ResponsibilitiesBoard & Community Relations

Serve as primary point of contact for assigned Boards of Directors, homeowners, and vendors
Prepare for and attend Board, annual, membership, budget, and committee meetings, including occasional evenings
Prepare meeting agendas, management reports, materials, and follow-up action items
Draft owner communications: newsletters, assessment notices, policy updates, violation letters, election materials
Respond promptly and professionally to homeowner inquiries, concerns, disputes, and records requests

Guest & Resort Operations

Oversee daily operations of resort/vacation rental properties, ensuring smooth and efficient service
Lead and motivate a team of hospitality staff, including housekeeping, maintenance, and front desk
Resolve guest inquiries and complaints promptly to ensure exceptional guest experiences
Implement and monitor quality assurance programs to maintain high service standards
Monitor and analyze guest feedback, implementing improvements as needed
Collaborate with the marketing team to promote properties and enhance occupancy rates

Property & Community Operations

Conduct routine inspections of communities and resort properties to identify maintenance, safety, and operational needs
Coordinate maintenance, repairs, capital improvements, and preventative maintenance initiatives
Monitor vendor performance, obtain competitive bids, negotiate contracts, and track vendor insurance/licensing compliance

Financial Management

Partner with the accounting team and Boards to prepare and monitor annual operating and reserve budgets
Assist with reserve planning, special assessments, and long-term capital improvement planning
Develop and manage resort/property budgets, ensuring financial objectives are met
Review monthly financial reports with Boards and provide operational recommendations
Monitor contract expenditures and assist with budget compliance

Governance & Compliance

Ensure associations comply with governing documents, Florida Statutes Chapters 718 and 720, insurance requirements, and company policies
Maintain compliance with all local regulations and company policies across resort operations
Support annual meetings, Board elections, and governance requirements
Maintain accurate, organized association and property records (electronic and physical)

Administrative & Technology

Utilize Buildium for association work orders, communications, financial reporting, and document management
Utilize Streamline vacation rental/property management software for resort operations, bookings, and reporting
Collaborate closely with accounting, administrative staff, vendors, and Board members to ensure timely follow-up and exceptional service
