Full Job Description

About the Role
The Central Minnesota Council of Scouting America is hiring an Administrative & Member Services Coordinator to support our service center, members, volunteers, families, and donors. This position is ideal for a highly organized professional who enjoys accurate data management, friendly customer service, and keeping office operations running smoothly.

In this role, you will serve as a key point of contact for membership registration, records, renewals, and administrative support. The right candidate will bring strong attention to detail, discretion, and a high level of professionalism in both personal presentation and communication style. Because this role regularly interacts with families, volunteers, donors, staff, and the public, the successful candidate must communicate clearly, warmly, and respectfully while representing the organization in a polished and dependable manner.

What You’ll Do

Membership & Registrar Support

· Process membership registrations: Review, verify, and process youth and adult membership applications accurately and in compliance with organizational standards.

· Resolve registration questions: Communicate with families, volunteers, and staff to correct incomplete applications, answer questions, and keep registrations moving forward.

· Maintain accurate records: Update membership information, renewals, and database records with a high level of accuracy and confidentiality.

· Support advancement processing: Verify and process Scouting applications and other advancement records in coordination with district leadership.

Office & Administrative Support

· Provide front-office support: Welcome visitors, answer phones, respond promptly to email, and direct inquiries with courtesy and professionalism.

· Assist staff and volunteers: Provide administrative support to the Scout Executive and district staff, including preparing materials, sharing information, and helping teams stay organized.

· Adapt to office needs: Pivot between priorities and provide administrative support to other areas of the organization as needed in a small-office environment.

· Keep operations organized: Manage mail, inventory, office supplies, reports, meeting materials, and event documentation.

Qualifications

· 2+ years of experience in office administration, customer service, registrar services, data entry, or a related professional setting. Previous Scout office experience a plus!

· Strong attention to detail and commitment to accurate, complete, and compliant records.

· Excellent verbal and written communication skills, with the ability to remain calm, professional, and helpful during busy periods.

· Professional presence and communication style appropriate for a front-facing role, including polished verbal and written communication, sound judgment, and a courteous, respectful approach with all audiences.

· Proficiency with Microsoft Office, especially Excel, and the ability to learn membership and database systems quickly.

· Ability to handle confidential information with discretion and complete multi-step tasks with limited supervision.

· Flexibility and willingness to shift focus, assist teammates, and support changing administrative needs across a small office staff.
