Front Desk Administrator

24-32 hours/week

*Must have own transportation to and from office location*

Job Overview

Valley Ridge Roofing is seeking an experienced Front Desk Administrator to be the first point of contact for our customers, prospects, vendors, and business partners. This position plays a critical role in creating a positive first impression of our company while helping convert inquiries into scheduled appointments and qualified opportunities.

The ideal candidate must be confident on the phone, possess strong sales and customer service skills, and have experience working in the contractor or construction industry. This individual will manage incoming calls, assist with lead conversion, coordinate scheduling, pull permits, maintain customer records in CRM software, and support bookkeeping and accounting functions through QuickBooks.

We are looking for a motivated professional who is organized, detail-oriented, and capable of managing multiple responsibilities in a fast-paced environment. The successful candidate understands the importance of customer communication, follow-up, and operational efficiency, and can help drive both customer satisfaction and company growth.

Responsibilities

Answer incoming calls and serve as the first point of contact for customers, prospects, vendors, and business partners
Convert incoming leads into scheduled inspections, estimates, and appointments through effective phone sales and customer service
Schedule and coordinate inspections, estimates, production schedules, and project timelines
Pull permits and communicate with local building departments to ensure projects remain compliant and on schedule
Maintain accurate customer, sales, and project records within JobNimbus CRM
Manage customer communications through phone, email, text messaging, and CRM workflows
Create and send invoices, collect payments, track accounts receivable, and assist with accounts payable
Support bookkeeping and accounting functions using QuickBooks
Assist with contract preparation, processing, and project documentation
Support project managers, marketing directors , estimators, and field staff with administrative needs
Organize and maintain digital and physical project files
Monitor office supplies and assist with daily office operations

Qualifications

Previous experience working for a roofing company, contractor, construction company, or home service business preferred
Experience pulling permits and working with municipal permitting departments
Strong phone sales experience with the ability to build rapport, overcome objections, and convert leads into appointments
Experience using CRM software; JobNimbus experience preferred
Experience with QuickBooks, invoicing, accounts receivable, accounts payable, and general bookkeeping
Excellent verbal and written communication skills
Strong organizational, multitasking, and time-management abilities
Proficiency with Microsoft Office and Google Workspace
Ability to work independently while contributing to a team environment

Roofing industry experience
Construction administration experience
Customer relationship management (CRM) experience
Bookkeeping and accounting knowledge
Sales and lead conversion experience
Understanding of contracts, permits, and project documentation
Experience managing multiple projects and deadlines simultaneously
