Project AdministratorPrecision Piping & Fabrication – Mount Carroll, IL

Precision Piping & Fabrication is seeking a highly organized and dependable Project Administrator to support our project operations team.
This position serves as the bridge between our Project Managers and accounting by helping maintain accurate project financial information, organized documentation, and reliable job cost data. The Project Administrator plays a key role in ensuring project information is current and complete so our Project Managers have the information they need to make informed decisions.

This is not an accounting or bookkeeping position. This role focuses on project administration, job costing support, maintaining accurate project documentation, and ensuring information flows efficiently between Project Managers and accounting.

While this position will assist with front office and reception duties as needed, the primary focus is supporting project operations.

What You'll Do

Project Administration

Ensure project costs are entered accurately and in a timely manner to support job costing and project reporting
Upload, organize, and maintain project invoices, receipts, and supporting documentation
Verify project costs are assigned to the appropriate jobs and cost categories
Maintain organized and accurate digital project files
Monitor projects for missing financial documentation and follow up with Project Managers as needed
Coordinate project financial documentation between Project Managers and the accounting team
Maintain accurate project information within our project management platform
Help ensure Project Managers have current and reliable job cost information throughout each project

Front Office Support (Secondary Responsibility)

Answer incoming phone calls and greet visitors professionally
Assist with general office administrative tasks as needed
Support internal teams with scheduling, documentation, and communications
Help maintain an organized and professional office environment

What We're Looking For

Qualifications

Associate's degree or 4 years of experience in a similar administrative, project coordination, or project support role
Proficiency in Microsoft Excel is required
Strong attention to detail and organizational skills
Ability to manage multiple priorities and follow established processes
Strong computer and data management skills
Excellent written and verbal communication
High level of accountability and reliability

Preferred Experience

Experience with JobTread is a plus, as well as other construction management or project management software
Experience in construction, industrial contracting, manufacturing, or another project-based environment is preferred
