Full Job Description

Executive Administrative Aide to CEO of Real Estate Development

Firm, Savannah, GA

A successful real estate development and investment firm that has been in business for

40 years is looking for an Executive Assistant to primarily support the CEO and occasionally assist other execs in the office. Trust and integrity are among the core values of the company. The role is in office for at least the first 6 months with the option for a hybrid schedule after that. The Executive Assistant will have their own office. It is a small office of 5 tight knit employees located near the junction of Chatham Pkwy and Park of Commerce Drive.

About the Job:

♦ Serve as the liaison between the CEO and internal/external stakeholders, ensuring clear communication

♦ Manage commercial projects to make sure the projects are complete on time

♦ Facilitate commercial and construction loan closings

♦ Yearly renew entities with the secretary of state and track insurance for all entities

♦ Oversee the execution of the CEO’s calendar, priorities and commitments to ensure time management

♦ Schedule internal and external meetings and prioritize on the CEO’s behalf

♦ Being the chief executive’s personal timekeeper, orchestrating their schedule and planning

essential travels

♦ Act on behalf of CEO to answer inquires

♦ Vet and prioritize the CEO’s emails; read and manage inbox; understand priorities

♦ Prepare & Schedule materials for meetings:

Collect team member agenda items
Craft overall agenda for meeting; distribute
Send out a follow-up email of accountability
Ensure key tasks are being completed

♦ Process expense reports including tracking receipts, and reimbursements

♦ Completing Special projects with skillful oversight and support

♦ Some off-hour availability

About You:

♦ Minimum of 5 years of experience in a related support position

♦ Accounting background a plus

♦ Experience as an EA to an entrepreneur or a start-up company

♦ BA/BS from a college or university a plus

♦ Background in real estate a plus

♦ Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)

♦ Understand and execute the importance of confidentiality

♦ Polished, professional demeanor

♦ Quick and decisive responder-work acute sense of urgency, able to screen incoming communications and use judgement to resolve issues when possible and knowing when to seek guidance.

♦ Outstanding communication and decision-making skills
