Full Job Description

Savannah Age Management Medicine is seeking a highly polished, proactive Clinical Office Manager to lead daily clinic operations and elevate the patient experience within our concierge medical practice.

This role serves as the central operational leader for our staff and patients. You will ensure the seamless execution of daily schedules, champion a warm and sophisticated patient environment, and foster a collaborative, high-performance team culture.

Supported directly by senior management and the Medical Director, you will bridge administrative execution with clinical standards, keeping our practice running efficiently, professionally, and at the highest standard of care.

Key Responsibilities1. Team Leadership & Practice Culture

Operational Leadership: Lead weekly team huddles, guide internal communication, and maintain daily accountability of office operations.
Culture & Guidance: Foster a supportive, collaborative work environment. Guide the team through operational friction or daily challenges with a calm, solution-oriented approach.
Standards & Professionalism: Serve as the benchmark for premium service. Enforce practice policies regarding professional conduct, dress code, and high-touch patient interactions.
Onboarding & SOPs: Train new team members on Standard Operating Procedures (SOPs) and continuously update administrative workflows in collaboration with management.

2. Concierge Patient Experience & Workflow

Patient Journey: Work with colleagues to ensure every patient touchpoint reflects a premium, personalized concierge standard.
Schedule Optimization: Oversee provider schedules across locations to maximize clinic efficiency, reduce patient wait times, and accommodate high-value client needs.
Clinic Environment: Maintain an immaculate, inviting, and highly professional office appearance.

3. Clinical Support

Controlled Substance Protocols: Manage inventory, documentation, and operational protocols for medical supplies.
Chart & Workflow Preparation: Oversee chart preparation and coordination to ensure providers have everything required prior to patient visits.

4. EMR & Essential Administrative Support

EMR Data Integrity: Manage day-to-day EMR operations and troubleshooting, including training and documenting EMR SOPs.
Inventory Management: Track and order administrative and clinical supplies to maintain agreed stock levels while adhering to established operational budgets.
Administrative Oversight: Serve as the primary liaison between clinical staff and senior leadership regarding daily operational updates.

Qualifications & Requirements

Experience: 4+ years of experience in medical office management, practice operations, or high-end concierge healthcare environments.
Prescription Processing Familiarity: Proven experience managing prescriptions and working with pharmacy partners.
Polished Professional Presence: Exceptional poise, verbal articulation, and written communication skills appropriate for interacting with concierge patients.
Leadership Capabilities: Demonstrated success in managing team dynamics, resolving interpersonal challenges professionally, and maintaining high morale.
Technical Proficiency: Strong command of EMR systems, schedule management tools, and modern office software.

Pay: $30.00 - $35.00 per hour
