Full Job Description

The Landings Association is seeking a polished, service-oriented Administrative Assistant to join our front desk team. This position plays an important role in supporting daily office operations and creating a professional, welcoming experience for residents, guests, vendors, and employees.

The ideal candidate is organized, detail-oriented, customer-focused, and able to manage a variety of responsibilities in a fast-paced environment. This is an excellent opportunity for someone who enjoys helping others, maintaining accurate records, and contributing to the smooth operation of a community-focused organization.

Key Responsibilities

Answer, screen, and direct incoming calls promptly and professionally
Welcome and assist residents, guests, contractors, and other visitors
Provide information and process requests, permits, and forms related to community services and amenities
Maintain accurate resident, vendor, vehicle, and demographic records in internal systems
Process payments for fees and services
Manage calendars, reservations, and rental processes for community amenities and meeting spaces
Conduct new resident orientations and prepare welcome materials
Enter resident-reported issues and service concerns into tracking systems
Provide notary services and maintain active notary certification
Sort and distribute incoming mail and packages
Maintain office supply inventory and assist with ordering needs
Support other departments with data entry, document preparation, meeting coordination, mailings, and general clerical support
Work collaboratively with staff across departments to support communication, service delivery, and organizational priorities
Respond as needed during operational emergencies, severe weather events, or other urgent community situations

Minimum Requirements

High school diploma or equivalent required
Relevant administrative, customer service, front desk, or office support experience preferred
Valid driver’s license and ability to be insured under The Landings Association’s vehicle insurance policy
Reliable and predictable attendance
Ability to obtain and maintain notary certification

Physical Requirements

This position is primarily performed in a professional office environment and requires the ability to sit, stand, walk, and move throughout the reception and administrative areas regularly throughout the day. The role also requires frequent use of standard office equipment, including computers, phones, copiers, and postage equipment, as well as the ability to read printed and electronic materials and communicate effectively in person and by phone. Occasional bending, reaching, stooping, and lifting or carrying of office supplies, paper boxes, mail, or packages up to 25 pounds may be required.
