Full Job Description

Job Summary: This position is responsible for providing clerical and customer service support for the operations of the Municipal Court, assist the Clerk of Court in processing court cases as directed and maintaining Municipal Court records in accordance with prevailing laws, municipal policies, and procedures.

Essential Job Functions:

Answers telephone and greets visitors; provides information and assistance.
Receives fines in person.
Reschedules or binds up court cases.
Provides assistance in court as needed.
May perform responsibilities of the Clerk of Court in his or her absence.
Assists with preparations for court.
Assists with such general office duties as processing daily mail, typing and filing documents, and maintaining court files.
Monitor online payment emails daily and process as directed.
Subpoena officers for trials weekly.
Balance court cash drawer each day and close batch.
Scan all disposed citations and correlating documents.
Ensure court dockets are complete and citations filed appropriately.
Import citations daily and verify accuracy.
Fax suspension withdrawals daily and update the case.
Performs other related job duties as assigned.

Education and Experience:

Ability to read, write and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent.
Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for two (2) to five (5) years. Preferred qualifications / prior experience as a Clerk of Court or Police Clerk.
Possession of or ability to readily obtain GCIC/NCIC certification.

Knowledge, Skills, and Abilities:

Ability to accept, receive, and collect payments.
Ability to use small office equipment, including copy machines or multi-line telephone systems.
Ability to use computers for data entry.
Ability to use computers for word processing and accounting purposes.
Ability to use highly technical computer applications, such as GIS or CAD.
Ability to multitask with possible multiple interruptions.

Physical Demands:

The work is sedentary, which includes exerting up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Additionally, the following physical abilities are required:

Crouching: Bending the body downward and forward by bending leg and spine.
Fingering: Picking, pinching, typing, or otherwise working, primarily with fingers rather than with the whole hand as in handling.
Grasping: Applying pressure to an object with the fingers and palm.
Handling: Picking, holding, or otherwise working, primarily with the whole hand.
Hearing 1: Perceiving the nature of sounds at normal speaking levels with or without correction.
Hearing 2: Ability to receive detailed information through oral communication and to make the discrimination in sound.
Mental Acuity: Ability to make rational decisions through sound logic and deductive processes.
Reaching: Extending hand(s) and arm(s) in any direction.
Repetitive Motion: Substantial movements (motions) of the wrist, hands, and/or fingers.
Speaking: Expressing or exchanging ideas using the spoken word, including the ability to convey detailed or important spoken instructions to other workers accurately and concisely.
Standing: Particularly for sustained periods.
Talking 1: Expressing or exchanging ideas by means of the spoken word, including those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
Talking 2: Shouting in order to be heard above ambient noise level.
Visual Acuity 1: Have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and extensive reading.
Walking: Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another.
