Position Summary

Charter Vista Holdings is seeking a highly organized and detail-oriented Office Administrator / Customer Service Support professional to join our team. This role is central to the smooth day-to-day operation of the office, combining customer-facing communication, accounts payable support, purchasing and data entry within Aspire ERP, and general office administration. The ideal candidate is self-motivated, thrives on solving problems, and enjoys providing reliable support to the Vice President and Division Managers.

Key Responsibilities

Customer Service & Communications

Serve as a primary point of contact for incoming calls, providing courteous and knowledgeable customer service.
Manage customer follow-up communications to ensure timely resolution and a positive customer experience.
Assist with mass email and marketing communications, including distribution lists and campaign send-outs.

Accounts Payable & Purchasing

Monitor and process the accounts payable (AP) email inbox, ensuring invoices and requests are handled accurately and on time.
Track and reconcile purchase receipts within Aspire ERP.

Data Management (Aspire ERP)

Perform accurate data upload and data entry into the Aspire ERP system.
Maintain data integrity and flag discrepancies for review.

General Office Administration

Order and maintain office supplies and manage inventory needs.
Coordinate business card orders and other miscellaneous office needs as they arise.
Provide general administrative support to the Vice President and Division Managers.

Qualifications & Skills

High school diploma or equivalent required.
Prior office administration or customer service experience preferred.
Experience with Aspire ERP preferred, but not required.
Highly organized with strong attention to detail.
Self-motivated with the ability to manage multiple priorities independently.
Strong problem-solving skills paired with a genuine service and support mindset.
Excellent verbal and written communication skills.
Proficient with standard office software (e.g., Microsoft Office/Outlook); comfortable learning new systems.
Ability to work collaboratively and closely with the Vice President and Division Managers.

Work Environment

This is a full-time, on-site position based at the Charter Vista Holdings office. Standard business hours apply, with occasional flexibility as business needs require.

Starting salary of $60,000, commensurate with experience.
