Remote Medical Administrative Assistant – Rubin Center Psychiatry

Serious inquiries only. We are looking for a high-performing, dedicated professional who thrives in a fast-paced healthcare environment and is ready to make a meaningful impact. We are also looking for someone to commit at least 2 years.

Overview:
Rubin Center Psychiatry is seeking a highly skilled and detail-oriented Medical Administrative Assistant to join our busy and growing psychiatry practice. This is a fast-paced, high-responsibility role requiring strong multitasking ability, strong computer skills, sharp attention to detail, and excellent communication skills. The ideal candidate is intelligent, efficient, and focused, with the ability to anticipate needs and coordinate seamlessly within a clinical team.

Responsibilities:

Manage incoming calls, chat messages, and correspondence from patients, pharmacies, and other providers.
Assist the Lead MA in scheduling appointments, maintaining provider calendars, and coordinating patient flow.
Maintain and update electronic health records (EHR) promptly and accurately.
Handle patient inquiries with professionalism and discretion, providing information on services and follow-up procedures.
Coordinate communication between medical staff, patients, and external providers.
Write and edit prior authorization letters, referral letters, and medical appeal letters as needed.
Collect co-pays and discuss insurance balances with patients in a clear and professional manner.
Responding to patient portal messages and triaging them provider appropriately.
Contact insurance companies to verify coverage or resolve benefit inquiries.
Collaborate closely with other team members to maintain efficiency and workflow in a dynamic environment.
Participate in training and onboarding to align with clinic policies and procedures.

Qualifications:

Previous medical or behavioral health office experience-at least one year.
Knowledge of medical billing and coding preferred; familiarity with pediatric and psychiatry workflows a plus.
Working knowledge of HIPAA regulations and medical administrative procedures.
Excellent written and verbal communication skills required.
Exceptional organizational skills, computer skills, problem-solving ability, and attention to detail. Must be able to be self directed, able to work autonomously and take initiative in managing their workload.
Experience with phone systems, computer savy, and general office technology requirement. We will teach you our EHR, though prior EHR experience is a plus.
Ability to work effectively under pressure, multitask, and maintain professionalism in a fast-paced clinical setting.
Reliable, focused, and proactive with a strong sense of accountability.
